The Scotia Wealth Management Receptionist contributes to the overall success of Scotia Wealth Management ensuring specific individual goals, plans, initiatives are executed in support of the business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

As the first point of contact, the Receptionist is a highly visible role, responsible for contributing to the overall success of Scotia Wealth Management's multiple business lines and other Bank Partners, by greeting and directing clients; taking and relaying messages and responding to and actioning client requests.

Is this role right for you? In this role you will;
  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Create a positive and welcoming initial first impression representing Scotia Wealth Management (SWM)
  • Welcome and interact with clients as the first point of contact; escorting or directing to the appropriate Relationship Manager, ensuring the are comfortable, offering beverage etc.
  • Receive all visitors, in person and phone calls, and respond or forward to the appropriate individual for timely response
  • Present a professional business image and positive demeanor and ensure the Office presents a professional image
  • Provide every client with service that demonstrates respect and knowledge, in a manner that makes the client feel welcome and shows that their business is appreciated
  • Manage incoming and outgoing correspondence
  • Receive, sort and prioritize mail, taking notice of required actions and due dates to ensure timeliness of responses and required actions
  • Perform daily mailroom duties and ensure all documents and/or deliveries accurately reach employees
  • Accept and arrange for couriers to ensure timely distribution of packages/documents
  • Coordinate the receiving/processing of Head Office shipments and deliveries
  • Manage and maintain meeting rooms schedule
  • Coordinate meeting rooms and conference calls ensuring action items and deliverables are completed
  • Arrange catering needs/lunch meetings as required
  • Ensure client rooms are set-up to professional standards and post meeting clean-up is completed
  • Coordinate any special events as required (for branch staff and clients)
  • Contribute to the effective operation of the Scotia Wealth Management office
  • Coordinate internal communication to staff, including maintenance of internal documents
  • Organize and maintain various filing systems to track and store data and documentation and allow for easy retrieval of information
  • Maintain office supplies inventory at appropriate levels and ensure timely ordering and, distribution and that all storage areas are properly stocked
  • Assist with security related activities and key holder responsibilities, including producing security badges, open/close of the office, and liaising with building security
  • Manage communal kitchen – order supplies, ensure it is kept clean
  • Liaise with office equipment vendors for maintenance as needed
  • Assist with special projects and other administrative functions as needed
  • Ensure work is controlled throughout the day to contribute to the efficient operations of the Office
  • Understand how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank's Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

  • Ability to relate comfortably with affluent and influential clientele, demonstrating the ability to display a high degree of poise and professionalism within all levels of the organization
  • Work independently with minimum instruction and problem solve
  • Strong organization with the proven ability to manage multiple priorities
  • Strong written and oral communication skills
  • Good understanding of the needs and offering of each business line to provide front line support
  • Sensitivity to individual client needs is a key component to executing daily activities
  • Financial industry experience an asset
  • Experience working in an administrative capacity or previous Bank experience is an asset.
Working Conditions
  • Work in a standard office-based environment.
