Senior Health Care Services Assistant
The Senior Health Care Services Assistant is responsible for providing administrative support to the Director, Health Care Services, and the Manager, Health Care Services, as well as provide quality oversight of medical transcription and activities related to the Digital Dictation System. This position is also responsible for maintaining vendor inventories and invoices and providing customer service as it relates the Health Care Services Department, both internally and externally.
Role Responsibilities
- Prioritizes and directing activities associated with the completion of transcribed reports.
- Performs quality control of external consultant and specialty clinic invoices
- Supports departmental operations which includes activities such as records management, and ordering and tracking supplies
- Coordinates
- Develops and maintains external vendor inventories
- Responds to external and internal correspondence and inquiries using independent judgement.
- Plays a key role in preparing, coordinating and organizing monthly and quarterly reporting.
- Monitors departmental expenses; tracks invoicing; ensures timely processing of payments; and compiles information for the directors for budget preparation.
- Provides support for internal and external meetings, as required, which includes scheduling, coordinating, compiling and distributing supporting materials in a confidential and prompt manner.
- Prepares PowerPoint presentations for education sessions as required.
- Facilitates Memorandum of Agreement processes and liaises with stakeholders where appropriate.
Essential Skills and Qualifications
- Two-year Office Administrative or Business Administrative program
- Three years of relevant experience in secretarial or administrative work
- Medical Terminology
- Minimum typing speed of 53 words per minute
- Must have extensive knowledge in the use of the Microsoft Office, including Word, PowerPoint and Office Outlook.
- Excellent oral and written communication, organization, and time management skills
- Must posses good analytical and problems solving skills
