The Administrative Assistant contributes to the overall success of the department by ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team's business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

Is this role right for you? In this role, you will:

  • Provide administrative support for the Vice President, and overall support for the Commercial team requiring discretion, confidentiality and knowledge of the organization's operations, procedures, and team.
  • Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases.
  • Perform tasks using independent judgment and discretion; e.g., preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls;
  • Support the Vice President in day-to-day management of his/her schedule by:
    • Arranging and scheduling appointments on behalf of the leader;
    • drafting letters and official information releases;
    • arranging, attending meetings and taking and distributing minutes;
    • Makes all domestic and foreign travel arrangements, prepares itineraries, prepares and compiles travel documents and maintains all travel records.
  • Support the Vice President and the Commercial team by:
    • Monitoring, reviewing, and approving standard expenditures to ensure the activities of the office are conducted within established budgets;
    • Managing the variance analysis and ensure it aligns on a monthly basis;
    • Act as the primary liaison and coordinator for department initiatives;
    • Arranging bookings for boardrooms / conference rooms (internal) as well as equipment, materials and meals for meetings as appropriate;
    • Monitoring / ordering / storing stationery supplies, including arranging for off-site storage and destruction of files / records;
    • Setting up / maintaining filing systems

  • Strong organizational skills, the ability to set priorities, and manage your time effectively.
  • Strong communication and interpersonal skills.
  • Good PC skills, including MS Office Suite (Excel, Word, PowerPoint, Outlook).
  • A high degree of flexibility to adapt to a wide variety of tasks.
  • Strong commitment to accuracy, customer and results focus.
  • High level of discretion in dealing with confidential matters.
  • Strong financial acumen and attention to detail.
  • Note that this is an in-office role with some flexibility to work remotely when possible.
