MPE Engineering, a division of Englobe, is seeking a Administrative Assistant / Document Control to join our team in our Calgary office.

We are looking for an outgoing and enthusiastic Administrative Assistant to join our Calgary team. This in-person role primarily focuses on technical document control and administrative support. The ideal candidate will thrive in a fast-paced environment, excel at managing multiple tasks, and possess a keen eye for detail.

Note: Document control responsibilities will vary over time, with some periods requiring a strong focus on editing and proofreading, and others where general administrative duties will take priority. This role is not exclusively centered on document work; the successful candidate will be expected to balance document-related tasks with broader administrative responsibilities.

Your Contribution

  • Document Control & Editing: Proofread, format and edit a variety of technical documents including proposals, reports, contracts and specifications to ensure compliance with company standards. Review technical content for clarity, consistency and accuracy, suggesting improvements or modifications when needed.
  • Administrative Support & Collaboration: Provide day-to-day administrative assistance to the engineering team and other staff, responding to requests and inquiries efficiently. Work closely with the administrative team to ensure seamless office operations and support cross-functional teams as needed.
  • Event Coordination & Office Maintenance: Assist with organizing company events and conferences, including activity planning, catering, and venue coordination.
  • Reception Backup: Assist with front desk responsibilities in the absence of regular staff.

Your Profile

  • Post-secondary diploma in Office Administration, Administrative Information Management, or a related field preferred.
  • Minimum 5 years of administrative support experience, with a strong focus on technical document control or editing.
  • Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook). Experience with Microsoft Publisher is a plus.
  • Exceptional attention to detail with a focus on accuracy in technical documentation.
  • Strong proofreading and editing skills, especially in technical and professional contexts. Social media experience (LinkedIn) is an asset.
  • Strong organizational skills, with the ability to prioritize and manage multiple tasks effectively.
  • Excellent oral and written communication skills in English.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to work independently, stay adaptable and manage competing priorities in a fast-paced office environment.
