The Campaign Coordinator oversees the campaign office and ensures the smooth functioning of the administrative side of the fundraising team. This is a critical support role that works with staff, volunteers, and consultants.

The ideal candidate is an experienced administrator who is familiar with fundraising in the university environment with a strong attention to detail. You have experience working with high-net-worth individuals and business leaders. You possess strong interpersonal skill, relationship building skills and can multi-task in a busy environment. You have a strong focus on proactive client service supporting the team in the forefront and behind the scenes.

Responsabilités
  • Answers phone and emails promptly, responds or re-directs inquiries in a timely manner.
  • Day to day oversight of the campaign budget - issues POs, ensures invoices are paid in consultation with the Campaign Accountant.
  • Supports CPO and Ambassadors with expense reporting.
  • Creates and oversees implementation of filing system for the campaign in consultation with the Campaign Director.
  • Creates and manages a master schedule for campaign activities in consultation with the Campaign Director.
  • Schedules meetings for campaign team with volunteers and prospects.
  • Manage RSVPs for meetings and events.
  • Provides administrative support to team such as drafting gift agreements, printing and binding proposals, preparing gift bags for prospects and donors, booking hotels and taxis, etc.
  • Updates donor and prospect information in Raiser's Edge (addresses, gift agreements, proposals, contact actions, etc.), generates lists as requested.
  • Ensures gift information is communicated to the relevant departments and that gift agreements are copied to Finance.
  • Liaises with and may fill in for Advancement Services Officer to ensure campaign donations are receipted and recognized in a timely manner.

Qualifications

Post-secondary certificate or diploma in administration, office management or equivalent plus a minimum of three-years of related experience is required. An equivalent combination of education and experience may be considered. High level of comfort and competence with MS Office suite of software - particularly Teams, Excel, Word, and Powerpoint is required. Comfortable updating web content through a content management system is required. Strong written and verbal communication skills are required. Ability to maintain confidential and sensitive information is required. Competence with Raiser's Edge and RENXT (or similar CRM software) preferred. Experience with graphic design is an asset.
