The Meadows is a 105 bed Long Term Care facility looking for a full-time receptionist and administration support person who is interested in working (8:30 a.m. - 4:30 p.m., Mon. to Fri.), and who can play an active role within the Business Office.

WHAT YOU'LL DO:

The primary purpose of the Receptionist/Administrative Support role is to provide phone and reception desk coverage, customer service support to our internal and external clients, perform tasks as assigned by Business Office staff, and additional projects and assignments from other departments that can be performed while working within the reception area. The incumbent is expected to provide administrative support on special assignments which may involve using various software systems or other projects as delegated and authorized by the Director of Finance & Administration, or the CEO/Administrator. These may include assisting with and working with data using Excel, preparing letters, checklists data entry and filing. The incumbent will be required to do offsite bank deposits using their vehicle and tracking kilometers for reimbursement.

KEY RESULT AREAS:

  • Operating a switchboard, providing reception counter customer service support (fielding questions from residents, staff family and visitors as needed) and performing business office tasks in areas such as but not limited to; preparation of forms and letters utilizing MO Suite of products including MO 365, label preparation, business cards and template creation both in Excel and Word.
  • Assist Business Office staff with maintaining organizational and personnel correspondence, files and records, mail outs with potential exposure to highly confidential and sensitive material and files.
  • Assists Director of Finance and Administration, and the CEO/Administrator with special projects as needed.
  • Prepares correspondence as required.

QUALIFICATIONS:

  • Relate well to those who live, work and visit our home with a compassionate, caring, respectful attitude with a strong customer service and stakeholder mindset.
  • Diploma in Business Administration or Combination of education and experience (e.g. Diploma in office or business administration, technology, accounting or business office procedures with equivalent recent and relevant experience).
  • Working knowledge of Business Office principles, processes and procedures.
  • Proficiency in IS/IT systems preferably in Sage Accounting, Microsoft office suite of products, accurate Keyboarding.
  • Strong analytical and problem-solving skills, with the ability to work independently and within a team environment.
  • Strong organizational, multitasking, oral and written skills.
  • Ability to maintain and respect the confidentiality of personnel, business and resident information.
  • Ability to maintain regular attendance at work, self-motivated and highly organized.
  • Well organized, detail oriented and a proven ability to work well in a fast-paced, deadline driven environment.

WHAT WE'D LOVE YOU TO HAVE:

  • Experience working in Health Care, particularly the Long-term Care Sector.
  • Professional customer service experience.
