Transformative Teaching and Learning
Transformative Teaching and Learning is a unit within UNB's Centre for Learning Futures and supports innovative teaching and learning approaches across all modes of program and course delivery. The unit specialises in faculty support and development, the development and maintenance of: audio/visual media in UNB's classrooms, and instructional technology in both classroom and online learning environments. The unit also helps to create cutting-edge media for teaching and learning purposes. Transformative Teaching and Learning works in close collaboration with other units in Centre for Learning Futures, like UNB Online and the Office of Experiential Education.

YOUR FOCUS
Reporting to the Director, Transformative Teaching and Learning (TTL), the Administrative Coordinator provides efficient, professional, confidential and comprehensive support for financial, administrative, and human resource aspects of the bi-campus unit. This position will support and contribute to the overall strategic direction of Transformative Teaching and Learning. This role is heavily involved in the preparation and submission of annual Transformative Teaching and Learning budget, smooth effective operation of all administrative and financial aspects of the department and is the main contact for all human resource related matters therein.
- Track and analyze data, prepare financial reports, process forms and invoices and reconcile procurement card.
- Manage project funding agreements and related financial and activity reporting.
- Support in the development of annual operating budget and planning for the use of trust funds.
- Develop and implement systems and processes to ensure the work process is coherent with UNB-wide financial processes and schedules.
- Support the Director on emergent issues relating to finance and human resources, as well as assist them with their daily schedule and strategic priorities.
- Liaise with Director of Finance and Operations, Learning Futures, and Financial Services.
- Allocate resources, negotiate contracts, and monitor expenses for events.
- Maintain financial compliance, optimize cost efficiency, and deliver post-event financial analysis.
- Prepare, update, and recommend operational policies, procedures, and guidelines in compliance with UNB's policies and collective agreements.
- Manage requests relating to office spaces including classroom, teleconferencing stations, hotelling spaces, privacy pods, and facilities management.
- Conduct triage assessments, coordinate workflows, ensure appropriate and timely follow-up for UNB-wide regulatory compliance and policy implementation pathways.
- Manage operations, maintenance and access to all offices.
- Maintain a schedule of key activities across all units of TTL.
- Monitor and manage the implementation of Learning Futures' strategic plans pertaining to TTL.
- Assist with the writing and preparation of proposals, reports and other documents.
- Schedule meetings, disseminate information through email, teams and SharePoint.
- Organize and maintain files and other information management tools, ensure sharing of confidential information achieves highest level of security protection.
- Act as the first point of contact for external agencies.
- Act as depute for Director TTL during their absence.
- Assist with the creation and implementation of meaningful staff engagement activities.
- Support and attend special events.
- Update job requirements and job descriptions for all positions.
- Support onboarding of new staff through orientation and training.
- Manage and supervise the activities of staff as required.
WHAT YOU BRING
- Diploma or certificate in office administration or equivalent post-secondary education.
- Minimum 5 years directly related experience in financial and budget administration as well as office management.
- An equivalent combination of education and experience may be considered.
