This position operates in a hybrid-remote format, necessitating occasional on-site attendance at a VON location in an Ontario site locationExisting Vacancy: Yes - we're currently hiring candidates for an existing vacancy in this positionJob Summary: The Fund Development Database Officer oversees all activities and initiatives for the centralized gift processing program. The role focuses on the integrity of all data entry for VON Canada and the implementation of the strategic stewardship program for all National gift acknowledgement activities. The role provides an advanced level of financial and administrative support to the Philanthropy management team and collaborates with internal stakeholders to ensure accurate financial reconciliation between VON's Customer Relationship Management (CRM) system and the National finance team. Key Responsibilities:
  • Leads the Centralized Gift Processing Program using VON Canada's CRM Raiser's Edge.
  • Trains all new National gift processors and mentors the gift processing team and data entry users.
  • Documents and updates all data entry processes and business rules.
  • Liaises with internal stakeholders to ensure gift processing business rules are implemented throughout the organization.
  • Oversees and ensures data accuracy and integrity is maintained for the Centralized National Direct Response Program, which includes all VON sites.
  • Provide troubleshooting support to business partners on Raiser's Edge database tool.
  • Responsible for scanning and uploading all legal documentation for legacy and gift of securities donations into the electronic filing system and Raiser's Edge database.
  • Leads the strategic stewardship program for the Centralized Direct Response Program, which includes the Mid-level, Monthly Giving and Acquisition Programs.
  • Develops and maintains all donor stewardship collateral for the gift processing program.
  • Oversees the official donation receipt process mandated by CRA regulations for all VON sites.
  • Manages the centralized donation phone line for all sites, responds to all donation queries and addresses all issues related to gift processing and receipting.
  • Maintains dashboards and extracts internal weekly stewardship and financial reports for the Philanthropy and Finance teams.
  • Administers and delivers external weekly bank deposits to support the finance team.
  • Oversees monthly reconciliation with the finance team to balance monthly reports from Raisers Edge database and VON Canada bank statement.
External and Internal Relationships:
  • Forges affiliations with VON staff across functional departments and in regional sites by providing consultation, coaching and support as a team resource within the function.
  • Builds internal relationships in regional and functional departments to support projects.
  • Manages annual contracts with external vendors by evaluating department needs and recommends change/updates when necessary to ensure alignment with organizational objectives.
  • Develops working relationship with clients, donors, perspective donors, partners and volunteers to support fund development and centralized gift processing centre.
Education, Designations and Experience:
  • Post-secondary education in Business, Administration or relevant field.
  • Minimum of 3 years' experience including fundraising and working with Customer Relationship Management Tool.
  • Experience in Blackbaud products (Raiser's Edge) is an asset.
  • Experience working in community healthcare is an asset.
  • Advanced experience using computer software programs including Microsoft Office (Word, Excel, PowerPoint and Outlook)
Skill Requirements:
  • Highly proficient user of Raiser's Edge (preferable).
  • Ability to import and export records through queries and reporting functions.
  • Proficient using Microsoft Office software including Power Point, Word, Excel, Outlook.
  • Ability to work in a fast-paced work environment, multi-task and balance competing priorities.
  • High level of organizational and interpersonal skills.
  • Exceptional attention to detail and accuracy.
  • Ability to work both independently and collaboratively within a team.
  • Excellent verbal and written communication skills.
  • Ability to learn quickly in a fast-paced environment.
  • Ability to speak French is an asset.
Other:
  • A current and original copy of a satisfactory Criminal Records Check.
  • A Vulnerable Sector Search and/or a Child Abuse Registry Check may be required.
  • The use of Personal Protective Equipment (PPE) may be required

Working conditions and physical demands: This role requires a detail-oriented approach in a dynamic environment, with physical activity including lifting, carrying (using proper techniques), bending, reaching, kneeling, and other movements that emphasize good body mechanics. Individuals in the role are required to walk, sit, stand, and climb stairs throughout the day, with some tasks requiring fine hand movements.
