Position description

Reporting to the Director of Information Technology, the Enterprise Applications Manager is responsible for all matters related to enterprise administrative software systems at Mount Allison University. The Enterprise Applications Manager will coordinate the technical and user involvement required for the successful implementation of computerized administrative systems, provide administration with the tools necessary for effective decision making and efficient management of the university and provide all members of the university community (administration, faculty, staff and students) access to timely, accurate information. Primary responsibilities include planning, coordination and supervision of the implementation of enterprise administrative systems; maintenance and support of existing software applications; meeting with representatives of administrative departments to determine software application needs; providing assistance and training to users; establishing and maintaining working relationships with users and external vendors. Added to these activities are administrative functions within the operational unit and within the department including supervision of staff, serving on committees/user groups and providing the Director with budget and staffing information and recommendations about future planning and development of resources.

Responsibilities

  1. Management
    The Enterprise Applications Manager, with the goal of providing up-to-date automated systems for administrative departments and meeting the future objectives of the university, oversees all activities related to administrative applications technology. Responsibilities include, but are not limited to:
    • Work closely and cooperatively with the Director, Computing Services managers and university departments
    • Ensure open communication - inter-departmental, with vendors and between user departments and technical staff plan, organize, direct, monitor and evaluate the daily operations within the Applications support team
    • Ensure administrative systems are operational and, in the case of vendor supplied software, at the current release level
    • Meet with representatives of administrative departments to determine system requirements and timelines; implement relevant solutions.
    • Where essential to the University's business functions, complete customization of existing, in-house or vendor supplied, applications and/or the design and development of new systems
    • Coordinate multiple project schedules, assess conflicting priorities, allocate and adjust resources to meet demand and ensure efficient and timely completion of the work.
    • Receive trouble reports and ensure critical issues and emergencies are resolved; track progress on outstanding work
    • Prepare progress reports for the Director and status reports for the IT Stewardship Committee as required
    • Participate in the development of departmental standards and procedures.
    • Stay informed with developments in software related to information technology in general and Ellucian offerings in particular
    • Confer with software vendors to obtain information, resolve problems and arrange demonstrations and evaluations
    • Evaluate vendor proposals and software; obtain product pricing information, exploring all options and available discounts
  2. Project Management
    The Enterprise Applications Manager will manage projects to implement new information technology. Responsibilities may include:
    • Project charter development - identifying the project sponsor and stakeholders, budget requirements, timeframes and project scope
    • Presentation of a project charter to the IT Stewardship Committee to obtain approval for the project.
    • Obtaining agreement with departments for the commitment of resources to projects.
    • Development of detailed project plans - identifying the tasks to be accomplished, the resources and time required to successfully complete these tasks and creating a schedule for project implementation with key milestones identified
    • Management of the project, including project a kickoff meeting, monitoring progress to ensure completion of the tasks within the approved budget and timeframe.
    • Communicating project progress to all stakeholders
    • Managing project scope and adjusting the project schedule to reflect approved changes in the project scope
    • Adjusting the project schedule to reflect changing priorities or circumstances; recommending resource levels required to complete projects within specified timeframes or revised timelines based on resource unavailability
  3. Supervision of Staff
    The Manager Enterprise Applications oversees the applications group, consisting of programmers and analysts, the Enterprise Applications Manager will:
    • Provide leadership and set overall priorities for applications support staff
    • Facilitate problem resolution with other groups, both internal and external
    • Closely monitor individual's performance to quickly identify and correct any problem areas to maintain the quality of work
    • Allocate work assignments and various job duties to aid in career development and training
    • Monitor plus time, overtime and vacation entitlements to ensure all union contract requirements are met
    • Coordinate and manage training of applications support staff; provide individual training on request
    • Assist staff with difficult assignments through discussion and identification of options to be investigated; provide support on request
    • When a vacancy occurs, provide People & Culture with job description information; review resumes; select candidates for interview; participate in the interview process and make recommendations for new hires
  4. Technical Direction/Future Planning
    The Enterprise Applications Manager will participate in the planning process for the future direction of Computing Services and the university by:
    • Providing the Director with information on long term goals and objectives
    • Coordinating plans with the Director of how to achieve these goals, within budgetary constraints
    • Conferring with members of the Education Computer Network (ECN) or Interuniversity Services Inc (ISI) and with hardware/software vendors to obtain information, arrange for software demonstrations and evaluate new software applicable to the university
    • Track technology trends; evaluate innovative technologies to determine how they can benefit the university
    • Participate in long range planning efforts including disaster recovery and risk management

Qualifications/skills

  • Required
    • A Bachelor's degree with courses in computer hardware and software
    • Project management and business analysis along with ten years of related experience with computer software applications development and implementation
    • Change management experience with the transition and adoption of new systems and processes
    • Vendor Management skills in negotiating and managing software vendor relationships
    • A minimum of 5 years demonstrated management and leadership experience and supervision of personnel
    • Strong interpersonal, communication, critical thinking and problem solving skills, customer service skills, and the ability to work under pressure
    • Project Management Professional (PMP) preferred, not required
    • Certified Business Analysis Professional (CBAP) preferred, not required
    • Data analysis and Reporting skills with Informer and/or Synoptics preferred, not required
