Legal Aid NL is an innovative legal aid plan that responds to the needs of low income persons by promoting access to justice through the provision of quality legal assistance for criminal, family and some administrative law matters. Services are provided through a staff based delivery model via the twelve full service offices and five project offices in the province.

We are searching for an experienced Senior Legal Assistant to fill a permanent position in our St. John's Area Office (SJ1).

The Senior Legal Assistant is responsible for providing legal secretarial and administrative support to the Area Director/Deputy Area Director. Duties will include:

  • Coordinates intake files for assignment with the Area Director/Deputy Area Director
  • Support the Area Director in their administrative role
  • Assist with scheduling client appointments in the office
  • Prepare and schedule for Notice of Intension to Cancel (NIC's) and Requests for Change of Solicitor (RCS's)
  • Prepares, reviews, and edits a wide range of legal documents, including court filings and correspondence of a confidential nature, transcribing dictation as needed, ensuring high quality, accuracy and comprehensiveness
  • Establishes and maintains a current calendar of events and a deadline reminder system for assigned lawyer(s) - arranges meetings, coordinates travel arrangements and schedules appointments
  • Acts as a liaison between assigned lawyer(s) and clients, as well as internal departments and external affiliates including courts, municipal and government departments as requested
  • Creates and maintains a filing system; opens and closes files in a timely fashion and performs conflict searches and external searches
  • Manages all incoming and outgoing mail, e-mail, faxes and phone calls in a confidential, organized and efficient manner
  • Where applicable, reviews court lists, posts/tracks time, and prepares and maintains clients' records
  • Assists with knowledge sharing, mentoring, and training of co-workers and new employees as requested
  • Other related and administrative duties as assigned

The successful candidate will hold a Legal/Administrative Assistant Diploma (or equivalent) or 5 years' experience in a similar administrative role. In addition candidates must have strong verbal and written communication skills and the ability to handle difficult situations and problem solve as needed. Exceptional accuracy and attention to detail is a must, along with a strong work ethic and the ability to take initiative. Additionally, you possess a positive attitude and are passionate about providing above-average client service. A proficiency in Microsoft Office is required for this role.

The successful candidate will be required to provide a Certificate of Conduct with Vulnerable Sector Check.

Employees of the Newfoundland and Labrador Legal Aid Commission are covered under the Provincial Government's Pension and Health Plan. Optional Dental and Disability Plans are also available. The salary range for this position is $50,596.00 to $56,21.60 per annum.
