About the Role

Reporting to the Executive Director, the Administrative Coordinator ensures the seamless operation of our office and administrative processes. You will be the backbone of our day-to-day activities, supporting our team with a variety of responsibilities, including office management, bookkeeping, and membership engagement. This role is ideal for someone who is organized, analytical, and thrives in a supportive and collaborative environment.

What You'll Do

  • Manage office operations, including inventory, supply levels, and general maintenance.
  • Respond to communications and inquiries with professionalism and enthusiasm.
  • Support engagement activities, including preparing marketing materials for events and newsletters.
  • Oversee bookkeeping tasks, including payables, receivables, bank reconciliations, and assisting with budget preparation.
  • Maintain accurate records and databases (e.g., membership, program registrations).
  • Coordinate meetings, travel arrangements, and event logistics, including our Annual General Meeting & Conference.
  • Act as a key liaison with members, providing exceptional service and support.

What You Bring

  • A diploma or certificate in administration, office management, or a related field, or equivalent experience.
  • At least three years in an administrative role, with experience in general accounting support.
  • Exceptional organizational skills and the ability to multitask and prioritize.
  • Strong communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite and database management.
  • A proactive, problem-solving mindset and the ability to work both independently and as part of a team.
