Office of Experiential Education

The Office of Experiential Education is an integral part of UNB Centre for Learning Futures that supports UNB's online programming through its UNB Online unit, innovative teaching and learning approaches through its Transformative Teaching and Learning unit, and community-based language, leisure and arts programming. The Office of Experiential Education provides support to ensure that every UNB student has the opportunity to engage in experiential learning during their degree, assists in creating more inclusive learning environments and embracing Indigenous knowledges, and supporting the holistic and transformational development of students in all learning environments.

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Salary Range: $47,261 - $59,076 per annum

YOUR FOCUS

Reporting to the Director of Experiential Education, the Experiential Administrative & Financial Coordinator will work closely with members of the OEE team to promote the goals and strategic plan of the office and the University by managing relationships with external partners who provide funding for these opportunities, processing the financial transactions for the office, and supporting the reporting requirements to internal and external stakeholders.

  • Manage and process financial transactions for the Office of Experiential Learning including accounts receivable/payable.
  • Track and analyze financial data; prepare comprehensive financial reports; process invoices; prepare and process all financial forms relating to the OEE.
  • Coordinate the applications and disbursement of funding to students, faculties, and external partners.
  • Liaise with federal and provincial funding programs to process funding applications.
  • Support the Director of OEE in the development of annual operating budgets and annual application to PETL for Future New Brunswick and Future Wabanaki funding
  • Acquire working knowledge of the annual budgets, account codes, and cash flow documents. Maintain and process financial records, as well as travel and expense claims.
  • Maintain a database that tracks experiential learning opportunities and the use of FutureNB/Future Wabanaki funding; and supports all reporting requirements for external and internal partners.
  • Liaise with UNB Financial Services, People & Culture, Student Awards, and other offices on campus to process funding applications and ensure UNB financial policies are upheld.
  • Develop and maintain operational procedures and documentation for OEE.
  • Support the Director, Office of Experiential Education with office-wide project coordination.
  • Support the Director and Platform Specialist with reporting for internal and external stakeholders.
  • Ensure complete confidentiality with respect to all matters including budget, salary, and personnel matters.
  • Work with the Director and staff in the Office of Experiential Education on implementation plans, developing and adhering to timelines, budgeting, deliverables, milestones, and reporting.
  • Maintain and organize files for the OEE.
  • Update and maintain the OEE internal Sharepoint site and external website.
  • Provide administrative support for the Office of Experiential Education, and adjacent committees, as required.
  • Manage flow of email inquiries in OEE's general mailbox.

WHAT YOU BRING

  • Bachelors degree in a relevant field.
  • Familiarity with UNB Financial procedures would be an asset.
  • 2-3 years of experience in higher education, experiential learning, or student affairs and services is beneficial.
  • Experience working and communicating with a wide variety of partners/clients.
  • Demonstrated experience in customer service.
  • Equivalent combination of education and experience will be considered.
