Job Summary

The Departmental Coordinator will be an integral member of the Provincial Clinical Efficiency- Workforce Management Team. They will assist the zone teams accountable for Scheduling & Staffing to integrate innovative staffing and scheduling tools into NLHS workflow processes. As system administrators for these tools, they will guide activities that determine necessary steps required to consolidate NLHS into a standardized scheduling and staffing model and achieve workforce optimization for NLHS.

Job Demands

  • The Departmental Coordinator will assist the teams accountable for Centralized Scheduling & Staffing with the following functions:
    Coordinate, and complete administrative activities related to implementing and optimizing a centralized scheduling and staffing model consolidation and workforce optimization.
    Weekly meetings with programs to identify and resolve any issues, answer questions, and assist with identifying solutions and standardization as the WFM program evolves
  • Creation and maintenance of Training material for the Workforce Management Setting up security access for new employees in ANSOS, Web Scheduler, and ATA
  • Maintaining security access files and performing audits, adding, and removing employees and access as needed
  • Training Employees in ANSOS, ATA, Web Scheduler and Capacity Planner.
  • Providing Support and guidance for employees using ANSOS, ATA, and Web Scheduler.
  • Assist with the development/modernization and any newly identified standardization processes and procedures, reviewing current practices / processes and making improvements as required for the Workforce Management Unit. Communicating change of processes with ANSOS, ATA, and Web Scheduler to employees and provide training as needed
  • Compliance and security audits within ANSOS to ensure accuracy
  • Configuration of ANSOS, ATA, and Web Scheduler.
  • Attending union, management, and program meetings, presentations, working with external consultants to develop and document workflows, plans for current and future practices, and to discuss progresses and concerns.

Job Qualifications

  • Diploma in Business Management, or other related Diploma is required.
  • A combination of education and experience will be considered
  • A minimum of three years of experience within the last five working with various scheduling and staffing models, and applicable technological systems is required.
  • Experience with data collection and information technology is an asset.
  • Demonstrated strong leadership, organizational and communication skills (both verbal and written).
  • Demonstrated proficiency in the use of Microsoft Excel, Word, and PowerPoint is required
  • Demonstrated supervisory skills including the ability to support and provide direction to others.
  • Demonstrated ability to build and maintain positive working relationships.
  • Demonstrated effective time management skills and the ability to prioritize work effectively.
  • Proven ability to forge productive partnerships with staff/management and other external stakeholders.
  • Proven analytical, problem solving, decision-making skills and be able to work both collaboratively and with a high degree of independence and initiative.
  • A satisfactory record of work performance and attendance is required.
  • Travel will be required
