(Contractual Position to March 31, 2027; Possibility of Extension)
DUTIES
Reporting to the Manager of Finance and Administration, Hibernia and Hebron Research & Development Initiative, the Administrative Staff Specialist II will be responsible for providing general administrative, financial, and human resources assistance in relation to the administration of the Hibernia and Hebron Research & Development Initiative. Duties include assisting with financial reports and claims; preparing and maintaining up-to-date reports on project budgets including tracking match funding; reconciling monthly statements for projects and resolving discrepancies; assisting the Manager, Finance and Administration with human resources functions including hiring, contract extensions, step adjustments, graduate pay, and leave and time approvals; assisting with purchasing and procurement in accordance with Memorial's guidelines; ensuring purchases are in accordance with contract agreement budgets or policies and procedures; processing external purchases using departmental procurement card; reviewing and preparing travel advances and claims, direct pays, and journal vouchers; providing back-up support to other administrative staff in the unit; assisting with fixed asset tracking and reporting; liaising with other University departments and maintaining effective working relationships with project personnel, project leads, and other stakeholders including funding agencies; and performing other duties as required.
QUALIFICATIONS
Experience (3-5 years) in administrative work; completion of most university coursework towards an undergraduate degree in business administration, public administration, or organizational management; or an equivalent combination of experience and training will be considered. Extensive knowledge of financial administrative software and Microsoft Excel is required. The ideal candidate will have experience in budget preparation, purchasing, and accounting procedures, as well as strong analytical and critical thinking skills. Excellent communication skills and the ability to work independently and in a team environment are essential. Prior experience using financial administrative software (such as Banner Finance and FAST) and working in a research grants administration capacity would be considered assets.
Research Initiatives and Services is a hybrid work-from-home unit.
SALARY $59,901 - $70,273 per annum (Non-Bargaining)
