Responsabilités

What you will be doing…

  • Reporting the Manager, Administrative Services, you will work with all departments to process invoices, reconcile statements & input purchase requisitions. You will provide a full range of administrative support services for the Administration and Business Offices. You will provide superior customer service to all clients, including but not limited to: suppliers, vendors, students, staff and the public. You will be responsible for all functions relating to Accounts Payable. These functions include but are not limited to the following: processing of invoices, statement reconciliation, cheque requisitions, departmental purchase orders, incoming/outgoing mail, journal entry preparation.
  • This position is also responsible for the Campus Store operations, including ordering and selling textbooks and merchandise, physical inventory asset management and regular reporting.
  • In addition to Accounts Payable, there is an element of Accounts Receivable that falls within the scope of this position. This includes cash reporting and deposit preparation. Experience in both Accounts Payable and Accounts Receivable would be considered assets.
  • Though this role has a primary focus on Accounts Payable, the successful candidate will be fully cross-trained to support our administration and student services teams. This includes front desk coverage and support of our Fisheries program offerings.
Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Office Administration combined with a minimum of two years' recent and related experience in a fast-paced office environment. Or you have the recognized equivalency of a high school diploma with significant (10+) years of administrative experience.
  • You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, E-mail, and large ERP systems such as Peoplesoft, Oracle, SAP, etc.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology in advancing your work
  • Experience with Peoplesoft managing accounts payables would be considered an asset.
  • Experience supporting/providing exceptional service to internal and external stakeholders would be considered an asset.
  • Experience working with Accounts Payable would be considered and asset.

Relevant Skills and Knowledge

  • You have specific technical occupational knowledge and skill in data entry and managing financials in a large ERP system (Peoplesoft preferred)
  • You are known for your problem solving and critical thinking skills
  • You possess excellent coordination skills specifically related to operating in a fast-paced client-facing Business Office
  • You have proven records and information management skills and abilities
  • You demonstrate a strong commitment to excellence
