Purpose:
Demonstrate good management and control of the Bank's occupancy costs through the accurate and detailed processing of premises expenses. Reviewing landlord's billing for base rent, operating costs and realty tax charges for irregularities.
Is this role right for you? In this role, you will:
1. Process recurring monthly rental charges, year-end CAM & realty tax recoveries, one-time adjustments, utility, IFRS16 implications and miscellaneous invoices ensuring accuracy and proper allocations for the Bank's lease portfolio of large office spaces in Canada.
2. Bill out BNS user groups, subsidiaries, and tenants on a monthly basis ensuring allocations are correct and amend billings as appropriate. Follow up with tenants to address questions regarding changes in rent.
3. Support the Occupancy Cost Control team with reviewing and performing analysis to validate landlord rental charges by ensuring billings are valid and are made in accordance with the respective lease agreements.
4. Process invoices
a) Ensuring all required supporting documents are received along with appropriate authorizations
b) Record transactions in the appropriate transit and account
c) Checking invoice costs, tax calculations etc. for accuracy and reasonability, and initiating and responding to queries as necessary
d) Checking invoices against purchase order details to ensure the invoice matches the purchase order
5. Liaise with internal teams, partners, landlords/property managers to gather information regarding real estate transactions including new branch openings, area certification, rental payments, expiring leases, escalations and other lease inquiries to action appropriate rental payments.
6. Maintain Real Estate databases to ensure information is accurate and ensure utility/realty tax accounts are managed on a timely basis.
7. Providing special research support and recommendations on new initiatives.

This position requires a sound understanding of accounting principles and the Bank's General Ledger. Familiarity with PeopleSoft and SmartBuy is an asset, with specific system training provided. Business experience in the real estate industry, including leasing and associated costs, is essential. Knowledge of real estate accounting, occupancy costs, and property taxes is also required. Additionally, a working knowledge of property management, building maintenance terminology, and provincial and federal tax regulations is necessary.
The incumbent requires good interpersonal and communication skills to resolve questions and problems with contractors and suppliers and to communicate with Property Managers and other Bank staff. Tact and delicacy are required, as information and transactions are often of a sensitive and confidential nature. Organizational and prioritization skills of a higher order are prerequisites to successful task completion, as deadlines are inflexible, workloads are high, and accuracy is essential.
• 1-2 Years full-time accounting or finance experience
• MS Office including a high degree of understanding of Excel
Work Arrangement:
Standard office-based environment. Hybrid, with expectations to be in the office two to three days per week.
