Program Coordinator, Specialized Programs and Client Strategies - Wealth Management

Purpose

The Program Coordinator will play a key role in supporting the implementation, sustainment, and delivery of Practice Excellence programs and learning development. The role supports the Senior Manager through project management, data and analytics, communications, events, and research support. Projects include, but are not limited to, Scotiabank Women Initiative, The Longevity Program, Total Wealth related programs and sessions, and regulatory reporting and documentation.

In addition to providing project support, the Program Coordinator will build strategic relationships to work with key stakeholders to understand problems and opportunities and support the implementation of solutions across internal and external SWM platforms while ensuring all activities conducted are following governing regulations, internal policies, and procedures.

Accountabilities

  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.

  • Understand how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank's Values, its Code of Conduct, and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Project management support

  • Support multiple work streams to ensure project milestones are reached, tracked, and reported.
  • Organize, facilitate, and document discussions across project streams and training sessions.
  • Collaborate with stakeholders across SWM businesses and support teams to align content with program objectives and deliverables.
  • Track program KPIs and dashboards for program team and executive reporting.
  • Support national, regional, business specific training programs, events and initiatives related to Practice Excellence programs by coordinating deliverables such as content, communications, and logistics.
  • Assist with organizing team offsites and internal events.
  • Collaborate with Training teams to support the development of the advisor engagement roadmap and ensure seamless execution of initiatives.

Manage workflow processes.

  • Identify, implement, and maintain process improvements to enhance efficiency and effectiveness.
  • Take initiative to propose changes when inefficiencies or issues are identified.
  • Utilize our project management software (Airtable) and be the point of contact for registrations, surveys, email communications, translation, and organization.

Client content & event support

  • Gather and organize feedback from various teams to ensure content meets program objectives.
  • Liaise between internal and external stakeholders to support the ongoing development and launch of client content and events related to Total Wealth strategy.
  • Support and assist with contracts, payments, and vendor deliverables.
  • Support the development of marketing, communications, training, sales collateral, and materials in English and French.
  • Learn, support, and track the team's vendor management and Enterprise procurement process.

Communications & research support

  • Support the development of project status dashboards and presentations for executive, business head and other business updates.
  • Track program KPIs and dashboards for program team and executive reporting.
  • Research, compile, and provide insights on industry and competitive developments.
  • Review, consolidate and recommend sponsorship opportunities to support and amplify the Practice Excellence objectives.

Contribute and guide other team initiatives as they arise.

  • Gather and organize information to support team productivity.
  • Draft and send out emails from various inboxes, ensuring clear and professional communication across different channels.
  • Manage and act as account administrator for internal and external applications leveraged by the team.
  • Builds and fosters key partnerships across Global Wealth Management and Support Functions.
  • Collaborate with the Client Solutions team and key stakeholders to optimize internal processes and tools to improve the client and advisor/relationship manager experience.

  • Knowledge of Airtable preferred.

Education / Experience / Other Information

  • Bachelor's degree or post-secondary diploma.
  • Experience in financial services an asset.
  • Strong analytical problem-solving skills with sound business judgement.
  • Bilingual in French considered an asset.
  • Work location: Anywhere in Canada.
