Demands, duties, qualifications

About the Role

The primary purpose of this position is to register and admit (as required) clients of the Emergency Department in addition to other routine filing/scanning and general clerical duties of the Emergency and Health Records Departments. The successful applicant will work under the supervision of the Team Leader/Supervisor of Health Records in conjunction with the Clinical Nurse Manager overseeing the Emergency Department and report to the Regional Director of Health Information Management and Privacy.

Qualifications:

  • Graduation from High School or equivalent;
  • Successful completion of a one-year (Certificate Level) Office Administration Program;
  • Successful completion of an approved Medical Terminology course;
  • Effective communication skills and the ability to work co-operatively with clients, staff and the general public;
  • Ability to work independently with limited supervision;
  • Knowledge of the Meditech information system would be an asset;
  • Ability to handle the physical demands of retrieving/moving chart volumes and filing;
  • The successful applicant will be required to submit a satisfactory certificate of conduct.

Duties
: (Included but not limited to)

  • Utilizing the Meditech information system, registers and admits clients presenting to the Emergency Department, following established registration/admission procedures;
  • Retrieves and re-files all records required by Emergency Room Personnel;
  • Files Emergency Department-related loose filing on the corresponding client record, as required;
  • Scans documents to EMR as required;
  • Daily files outpatient loose filing reports accumulated in the Health Records Department;
  • Nightly assumes duties and coverage of Switchboard services and Hospital Admitting Clerk, as required;
  • Operates routine office equipment including FAX machine and photocopier;
  • As required, responds to emergency requests such as, but not limited to ambulance and code red calls;
  • Provides assistance and information on general inquiry from clients, hospital and medical staff;
  • Performs all other duties as required.
