Demands, duties, qualifications
The primary purpose of this position is to book diagnostic imaging appointments, register clients into the ITS Radiology Information System and perform clerical/typing duties for the Diagnostic Imaging Department and reports to the Lead Diagnostic Imaging Technologist IV.

Qualifications:

  • Graduation from High school or equivalent, supplemented by successful completion of a 2 year Diploma Program in Office Administration, (Medical preferred) from a recognized post-secondary institution; which has provided training in office practice, keyboarding and word processing is required;
  • Effective communication skills with clients, staff and the general public;
  • Excellent organizational skills and an ability to multi task;
  • Knowledge of general clerical work;
  • Successful completion of an approved Advanced Medical Terminology Course.
  • Successful completion of a practical test may be required;
  • The successful applicant will be required to submit a satisfactory certificate of conduct;

Duties: (Included but not limited to)

  • Books appointments for General Radiology, Fluoroscopy, Mammography, Ultrasound, Bone Density and CT procedures.
  • Monitors Diagnostic Imaging Orders coming into the Diagnostic Imaging Department through the electronic order entry system and paper Diagnostic Imaging Requisition process and ensures all orders are responded to, booked, redirected etc in the appropriate timeframe as determined by the Canadian Association of Radiologists guidelines.
  • Daily pends all incoming Diagnostic Imaging Requisitions/Orders on the Meditech Scheduling System and inputs and submits the monthly Wait Time Data to the Regional Wait Time Coordinator for submission to the Provincial DOHCS Wait Time database for the Diagnostic Imaging Departments in the Province.
  • Instructs patients/relatives in the proper preparation for procedures. Ensure that all pertinent information is available for the appointment time e.g. Laboratory results are available, etc/
  • Registers patients utilizing the Meditech patient registration system, the ITS Radiology System and GE Provincial PACS system and inputs additional patient information, as required.
  • Follows up with Clients when their MCP #s are rejected and submit to the Radiologist Office the correct MCP information for resubmission to MCP.
  • Ensure that all functions of the Diagnostic Imaging Clerical Section are performed efficiently, and are running smoothly on a day to day basis.
  • Performs all departmental typing and clerical work with accuracy and speed, in accordance with established standards of the department and the Labrador Grenfell Health Region.
  • Assists the DI Technologist, as requested, with:
    • Distributing oral contrast to patients prior to CT exam.
    • positioning patients;
    • transporting stable patients; and
    • staying with patients during and following procedures.
  • Sorts, registers, packages and sends all Radiology, Mammography, Ultrasound, and CT images to referral centers, and monitors their return, also burns CDs of images from the PACS and send CDs to referral centers, and distributes patient reports to the Health Records Department and doctor's clinics/offices.
  • Calls referral centers for patient reports and other information as requested by the Technologist IV or designate and inform attending physicians of the reports.
  • Provide the Lead Diagnostic Imaging Technologist IV with input on Department policies and procedures regarding clerical section.
  • Monitors and organizes office equipment, maintenance and repair, reports to the relevant areas if work is required and keeps the Lead Diagnostic Imaging Technologist IV or their designate informed of any equipment issues.
  • Ensure that any new staff or replacements are properly trained in the procedures of the clerical section and any new procedures that are instituted are understood by all clerical office staff.
  • Destroys films and departmental logbooks in accordance with the Labrador Grenfell Health's Record Retention policy.
  • Collate and prepare monthly statistics as per Regional and Provincial Wait times Requirements and the Canadian Workload Measurement System.
  • Receive all incoming Departmental correspondence and respond to same as per Departmental guidelines.
  • Performs clerical duties to maintain and support the PACS.
  • Provides non-technical information to staff, physicians, other institutions and the public concerning departmental operations.
  • Orders diagnostic imaging supplies from purchasing and other hospital departments; prepares requisitions for approval by the department head; and sorts and places supplies in their proper place upon receipt.
  • Participates in the departmental Quality Initiatives program and assists in the preparation of audits, as assigned.
  • Participates in continuing education programs and keeps abreast of technological changes to update current knowledge and skills.
  • Protects the confidentiality of patient information and abides by the rules and regulations of Labrador Grenfell Health's as reflected in it's mission, values, policies and procedures.
  • Reviews annually, or as needed, the departmental policy and procedure, fire and evacuation, emergency planning, WHMIS and infection control manuals
  • Maintains a clean and tidy reception area, and secretarial/clerical office.
  • Safety is a priority for Labrador Grenfell Health. All staff (and volunteers) must/are responsible to ensure that safety for patients/residents/clients, co workers and themselves is paramount in the workplace.
