Purpose

  • Are you interested in a role that allows you to learn about and work with our different business lines, corporate functions and other stakeholders across Scotiabank's global footprint, while gaining Records and Information Management and Compliance experience?

  • Reporting to the Director, Enterprise Regulatory Programs, the Senior Manager Records and Information Management supports the implementation and execution of the global Records & Information Management (RIM) Program in order to facilitate effective and efficient information management across Scotiabank in accordance with legal, regulatory and internal business requirements.

Accountabilities

  • Support the overall design and implementation of an effective global enterprise-wide RIM Program

  • Develop, maintain and implement RIM related policies, procedures, processes and other supporting documentation to enable RIM Program compliance, and support and monitor stakeholder adoption

  • Facilitate implementation of Enterprise Retention Schedule across the Bank's global footprint, and provide oversight and otherwise facilitate ongoing updates to Schedule

  • Facilitate RIM program maturity in relation to records (paper, structured data, unstructured data) in collaboration with Technology, Business Line/Corporate Functions and other stakeholders

  • Work with Business Lines and Corporate Functions to enhance and maintain Records Inventories

  • Monitor adherence of Business Lines and Corporate Functions to RIM Program

  • Support assessments of RIM Program and related risk assessments

  • Inspire, manage and support RIM team members to ensure team deliverables are met in a timely manner

  • Fosters and promotes team spirit and builds effective working relationships with stakeholders

  • Liaise with external networks and professional industry associations and organizations as needed to enhance and advance records and information management competencies and knowledge

  • Facilitate training, communication and change management activities as required to support RIM program implementation and ongoing execution

  • Support the (i) creation, implementation and review of reports, review schedules and meeting materials, (ii) communication of timelines with relevant stakeholders and (iii) otherwise ensuring team deliverables are completed

  • Assist with ongoing efforts to increase the effectiveness, efficiency and sustainment of the RIM Program, including through system enhancements and process reviews

  • Provide advice to Business Lines and Corporate Function on RIM Program requirements and support resolution of outstanding issues

  • Assist with responses to testing, audit or regulatory inquiries or findings and facilitates remediation

  • Collaborate with stakeholders, technology groups and vendors as needed to ensure technology solutions are designed to meet evolving business and regulatory requirements that align with RIM requirements

  • Assist the Director with other Enterprise Regulatory Programs responsibilities, as required, to fulfill the team's mandate and comply with Regulatory Compliance Management requirements

  • Creates an environment in which the team pursues effective and efficient operations of their respective areas in accordance with Scotiabank's Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

  • Understand how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions

Education/Experience

  • BA or Postgraduate degree with a minimum of 3 years of relevant experience in Records and Information Management, Regulatory Compliance, Operations or process-oriented roles.

  • 3+years' experience in a records and information management or information governance role would be an asset

  • Knowledge of records and information management industry standards, best practices, methodologies, and frameworks would be an asset.

  • 3+ years' experience developing, implementing, and managing similar large-scale, cross-functional organizational change initiatives would be an asset

  • Experience and knowledge of change management, communications and learning principles, methodologies, and tools.

  • Solid understanding of financial institutions, infrastructures, and markets

  • Highly organized and capable of managing multiple priorities with competing timelines

  • Strong ability to prioritize, track and communicate progress on deliverables to stakeholders and management.

  • Proficient in Microsoft Office suite of products, including but not limited to: Co-Pilot, PowerPoint, Word (including macros), Excel, Visio

  • Ability to successfully manage teams, proactively take ownership and work independently within guidelines, policies, directives and established precedent.

  • Strong analytical, organizational, and investigative skills, with exceptional attention to detail.

  • Excellent teamwork, interpersonal and conflict resolution skills.

  • Excellent written and verbal communications skills and with experience communicating effectively at the senior management levels

  • Experience discovering user needs and requirements and writing both business and technical documentation, flow charts, design documents would be an asset
