Specialist - Products and Vendors, Business Ops

The Team

Scotiabank's Business Operations Services team plays a pivotal role within the Information Security and Control (IS&C) division by managing and supporting key operational functions. The team oversee the end-to-end contract lifecycle, ensuring compliance and fostering strong vendor relationships. The team also facilitates IT hiring, coordinating with HR and hiring managers to attract and retain top talent. Additionally, manage Project Management Office (PMO) activities, ensuring projects align with strategic goals, are delivered on time, and within budget.

The Role:

The Specialist Product and Vendors role will support all Information Security and Control (IS&C) supplier contracts from end to end with regards to agreements, vendor, NDAs and risk management. Acting as the intersection between business lines, procurement, VMOs, control functions, and finance, we facilitate contract onboarding and management, allowing business lines to focus on their core functions and keep the Bank safe.

The Specialist Product and Vendors role will also support our IT Hiring activities when required. The team is relatively small, we will be cross-training to further develop individuals and ensure we have ample coverage for the overall team.

Below are some core responsibilities:

Vendor Management:

  • Assist Business Lines and relevant teams with contract creations, amendments, compete risk assessments and achieve consent.
  • Ensure compliance with Scotiabank's Third-Party Risk Management policy and procedures, verifying all risk assessment requirements are fulfilled for assigned vendors.
  • Drive cross-team collaboration (Vendor, Procurement, Governance, TPRM, PM, Legal, and Finance)
  • Drive operational efficiency and process improvements.

IT Hiring:

  • Intake items from hiring managers.
  • Update tracking sheets.
  • Attend recruitment meetings.
  • Open role reporting.
  • Any other items that may arise

Is this role right for you?

  • You will be part of the continual "Path to Green Contract Remediation Strategy" which aims to bring and maintain all IS&C contracts to green status by remediating risk items, renewing overdue contracts and aligning with procurement standards.
  • You will manage the contract lifecycle from end-to-end inclusive of intake creation, risk assessment, management, and closure within COUPA Risk Assessment (CRA) and Icertis Contract Management (ICM) systems.
  • Liaison with suppliers, Vendor Management Offices, and IS&C Business Lines to manage contract lifecycle and risk while ensuring Bank processes are followed.
  • Manage the creation and upkeep of user-friendly Power BI Dashboards, Excel reporting and SharePoint site/folders.
  • Liaison with Hiring Managers as it relates to open roles when required.
  • You will be part of the overall IT Hiring process inclusive of full time and contractor roles.

Do you have the skills that will enable you to succeed in this role?

  • A recognized undergraduate degree in Business Administration, Vendor Management, related disciplines, or equivalent qualifications/experience.
  • 5+ years of business analysis, vendor management, procurement experience or/and human resource experience.
  • Strategic thinker capable of consolidating unrelated data sources into innovative insights and best practices.
  • Ability to work in a fast-paced, dynamic environment and manage multiple requests through effective prioritization.
  • Strong verbal and written communication skills and strong collaboration skills.
  • You are a self-motivated individual with good organizational and time management skills, able to pivot with changing priorities during constrained timelines.
  • Strong PowerPoint & Excel skills (inclusive of pivot-tables & lookups).
  • Participate in team cross-training activities as they arise.
  • The following skills are considered assets:
    • Experience/knowledge of Information Security
    • Power BI and Data Analytics skills
    • Knowledge of procurement & Third-Party Risk Management experience
    • IT-Hiring and Ad-Hoc Reporting
