Job Summary

Reporting to and assisting the Director, Administration & Membership, the Accounting Specialist primarily supports the accounting function of the Association. With guidance and support, the position will also support the human resources, information technology, and membership administration functions as a member of a highly integrated team.

Responsibilities & Duties

  • Assist with finance meeting preparation, including helping generate briefing notes, financial reports, and minutes.
  • Assist in the preparation and monitoring of accounting and other administration policies and procedures.
  • Assist with preparation of regular and ad hoc financial reports for internal and external purposes.
  • Assist in the preparation of annual budgets and regular monitoring of budgets.
  • Assist in the annual financial audit, including securing auditor documentation requests.
  • Process accounts payable transactions, including analyzing vendor invoices, soliciting internal review and approval, entering in the accounting system, verifying coding, and preparing for payment authorization.
  • Process expense, honoraria and other claims, including reviewing submissions, importing in the accounting system, verifying coding, and preparing for payment authorization.
  • Process corporate credit card transactions, including reviewing employee-reported charges and refunds, importing in the accounting system, and verifying coding.
  • Assist with payroll processing and tax slip generation.
  • Assist in the filing of federal, provincial, and municipal taxes.
  • Assist with fixed asset purchase/maintenance/disposition and associated accounting transactions.
  • Assist in monthly reconciliation of bank and credit card statements.
  • Assist with fixed asset purchase/maintenance/disposition and associated accounting transactions.
  • Act as a point-of-contact with external and internal parties on routine accounting matters.
  • Assist with administrative aspects of onboarding and offboarding employees.
  • Process employee time-off and overtime submissions, ensuring adherence to policies.
  • Assist in the administration of member-based benefit programs.
  • Support other members of the Administration department, the Executive Director and the senior team as required.

Education & Experience

This position requires a commerce or business administration degree, or a general business or accounting diploma, coupled with at least three years of related experience. Candidates with other equivalent combinations of education and experience may be considered.

Knowledge, Skills & Abilities

  • Knowledge of accounting and bookkeeping principles.
  • Experience in producing and comprehending financial statements, including income statement/profit and loss/statement of operations, balance sheet/statement of financial position, and statement of cash flows.
  • Familiarity with payroll processing and compliance.
  • Experience using expense claim and human resource management systems.
  • Proficiency in Outlook, Teams, Word, Excel, Acrobat, and QuickBooks Online in a Windows environment.
  • Familiarity using cloud-based file systems, such as OneDrive and SharePoint.
  • Aptitude for numerical calculations.
  • Ability to work in English.
  • Ability to effectively communicate orally and in writing.
  • High attention to detail.
  • Strong time management and organizational abilities.
  • Ability to work as a member of a team or independently.

Compensation & Benefits

The 2024 salary range for this position is $57,800 to $78,200, with placement commensurate with education and experience. The NLMA also offers a competitive benefits package, including:

Work Location & Hours

This position is based at NLMA House in St. John's, with an option to work from the office, from home (within two hours of St. John's), or a combination. Regular work hours are 9 to 5, Monday to Friday, with some flexibility to work outside these hours.
