The Clinical Team Program Administrative Assistant will:
- Provide direct administrative and office management support for Clinical Programs.
- Support educational events by coordinating logistics; preparing documents; compiling, and distributing meeting materials; recording, and transcribing minutes; and performing action items.
- Prepare and/or update program documents, presentations, and communications materials such as letters, memos and website materials.
- Receive and screen inbound telephone calls, e-mails, and visitors to the shared emails.
- Receive incoming mail, review, evaluate, and distribute correspondence.
- Order items for the team as needed.
- Ensure files and records are organized, up-to-date, and securely stored.
What we are looking for:
- Advanced professional experience with Microsoft Office including Word and Excel.
- Experience creating documents and materials with Canva.
- Able to navigate and utilize SharePoint efficiently.
- Excellent written and oral communication.
- A team player who enjoys collaborating with teammates who can also work independently.
- Ability to embrace and adapt to change successfully.
Qualifications:
- Post-secondary education in administrative or business-related studies.
- 3+ years' experience in an administrative role.
- Tech savvy and proficient in all Microsoft Office programs including Teams, Outlook, Word, Excel and PowerPoint.
- Effective multitasker, with experience in managing multiple initiatives/activities simultaneously and the ability to prioritize based on customer and operational need.
- Medical terminology and experience working in a healthcare setting would be beneficial.
