Position: Administrative Assistant
Reports to: Partners

Summary:
As the first point of contact for the firm, you will play a key role in creating a welcoming and professional environment. Your primary responsibilities include managing office tasks, scheduling meetings, arranging travel, and ensuring efficient communication with clients and staff. This role requires strong computer skills, excellent verbal and written communication, and a proactive, service-oriented attitude.

Key Responsibilities:

  • Perform general office duties, including filing, preparing reports and presentations, and ordering supplies.
  • Provide scheduling support by booking appointments and avoiding conflicts.
  • Make travel arrangements (flights, cars, hotels, and restaurants).
  • Screen and direct phone calls to appropriate team members.
  • Generate reports, create presentations, and conduct research using office software.
  • Prepare client packages (e.g., financial statements, tax returns).
  • Greet clients and visitors, offering assistance as needed.
  • Maintain polite and professional communication across all platforms (phone, email, mail, face-to-face).
  • Update and manage office policies, procedures, and contact lists.
  • Serve as a point of contact for internal and external stakeholders.
  • Anticipate needs to ensure a seamless, positive experience for clients and colleagues.
  • Assist with other duties as assigned.

Requirements:

  • Degree or diploma in a related field.
  • Prior administrative experience.
  • Strong computer skills and typing proficiency (min. 55 WPM).
  • Excellent communication skills (multilingual skills are an asset).
  • Strong attention to detail and organizational skills.
  • Ability to manage time effectively and prioritize tasks.
  • A proactive attitude and desire to foster a positive environment.
