Core Duties and Responsibilities
As Legal Assistant within our Property team, your responsibilities will include, but are not limited to:
- Handling client intake, answering questions, conducting conflict searches, and opening new files;
- Scheduling client meetings and maintaining the lawyer's agenda;
- Setting court dates and managing deadlines for filing documents like briefs and affidavits;
- Drafting routine letters for lawyer review;
- Preparing client report books;
- Communicating promptly with key parties;
- Sorting incoming and outgoing mail, coordinating faxes, and scanning/copying documents;
- Performing property searches using Property Online;
- Obtaining tax certificates, handling tax payments, mortgage payouts, and commissions;
- Maintaining organized electronic and paper files using a document management system;
- Processing and organizing large volumes of documents efficiently using technology;
- Managing wire transfers, internal fund transfers, and cheque requests; and,
- Performing other duties as needed
Qualifications and Skills
- Graduate of a Legal Assistant/Paralegal program or equivalent experience with 1-3 years in a similar role.
- New Brunswick property experience is considered a strong asset.
- Detail-oriented with excellent proofreading skills.
- Able to work independently, follow instructions, and take initiative with minimal supervision.
- Strong communication skills and a commitment to excellent customer service.
- A positive team player who contributes to a good team environment.
- Proven ability to handle high-volume tasks and prioritize in a deadline-driven setting.
- Self-motivated and able to work autonomously.
- Comfortable with technology, including Outlook and Microsoft Office, and able to learn new software quickly.
- Knowledge of Athennian, Closing Folders, Property Online, and ProLaw is an asset.
