(Permanent Position)

DUTIES

Reporting to the Administrative Staff Specialist Ill, the Academic Program Assistant will perform proactive administrative work in support of the Department of Ocean Sciences' Undergraduate and Graduate programs. Duties include supporting the admissions process, including processing graduate student applications; liaising with the School of Graduate Studies staff regarding regulations, procedures, and enquiries; preparing and processing Graduate student payroll forms; maintaining necessary files for records; managing Graduate student thesis submissions, comprehensive exams and other related work; completing support work around Graduate scholarships; drafting routine correspondence and typing/formatting reports and documents; scheduling meetings related to Undergraduate and Graduate committees; providing support to Deputy Heads as needed; updating the departmental website; coordinating the departmental taxi service for students including tracking ridership and placing taxi orders; and performing other related duties as required.

QUALIFICATIONS

Experience (2-3 years) supporting academic program activities; completion of a 2-year community college program in office or business administration, or 1 year of University level courses towards an undergraduate degree; or any equivalent combination of experience and training. Excellent working knowledge of Microsoft Office (with particular emphasis on Word, Excel, and Outlook) is required. Strong interpersonal, organizational, and communication skills are essential. Experience with Banner Student, Banner Finance, OnBase, Brightspace, or similar programs is considered an asset.

SALARY $49,308 - $57,841 per annum (CUPE 1615)
