ADMINISTRATIVE STAFF SPECIALIST I (BAND LEVEL 5)
Primary Healthcare Research Unit (PHRU), Discipline of Family Medicine Faculty of Medicine
(Contractual to July 9, 2026)

The University will consider applications from qualified permanent staff who may be interested in a secondment, subject to departmental approval.

DUTIES

Reporting to the Manager of Operations, Discipline of Family Medicine, and working directly with the Director of the Primary Healthcare Research Unit, the successful applicant will provide advanced administrative, financial and operational coordination, requiring considerable initiative and judgement, in support of the Primary Healthcare Research Unit (PHRU). Duties include developing and maintaining financial spreadsheets for research accounts; reconciling monthly financial statements; coordinating purchases and preparing reimbursement requests; preparing expense pre-approval requests; contacting vendors to secure quotes for services and assets; coordinating recruitment of research staff and student positions; processing leave requests and timesheets for staff and students; managing the Director's calendar; scheduling and organizing meetings, conferences and events; recording, transcribing and distributing meeting minutes and conducting necessary follow-up; managing/tracking office space, keys and equipment; interacting with faculty, staff and students on a daily basis; preparing travel documents such as requests and claims; maintaining webpages and updating online resources; conducting file and information searches and compiling related materials; formatting materials for reports and presentations; acting proactively to ensure a high level of support is provided to all faculty and staff in the PHRU; participating in daily office activities including responding to inquiries, drafting correspondence, distributing mail, photocopying and faxing; providing administrative support to all faculty and staff in the PHRU; and performing other related duties as required. The position will also be required to provide support to faculty, staff and residents engaged in research activities within the Discipline, as well as other units within the PHRU, such as the Centre for Rural Health Studies and the 6for6 Program.

QUALIFICATIONS

Considerable experience (3-5 years) in administrative or financial work and graduation from an office administration, accounting, or related program, supplemented by completion of university-level courses in business administration; or any equivalent combination of experience and training. Experience reading and reporting financial information, performing administrative duties, and strong organizational and analytical skills are required. An advanced knowledge of Microsoft Office applications with a focus on Excel and Word is required. Experience with scheduling, research grant financial reporting, Banner Finance and Banner HR are assets.

SALARY $52,675 - $61,793 per annum (Non-Bargaining)
