Members of this team work to monitor the status of projects in the areas of cost and schedule, supporting in forecasting, resource, and physical progress measurement, and ensuring best practices and procedures are in place. The Opportunity We are currently seeking an Administrative Assistant lll to join our Project Services and Shutdown team in Sudbury.This role will provide administrative support to management and staff of the departments, including helping to schedule, track and report on Projects.AccountabilitiesIn this position you will:
- Provide office administration and support to the department (e.g. IT setup and decommissioning for employees, managing, and tracking change requests for employee work clothing)
- Assist with travel arrangements, submit expenses for travel and other expenses.
- Assist in the maintenance of email distribution lists.
- Scheduling duties (i.e. lead meetings, schedule meetings, track work status, enter work orders, run weekly reports in SAP, etc.)
- Set up folders and agendas and record minutes for regular coordination and performance meetings.
- Input and track vendor time sheets and reconcile with invoicing.
- Produce reports, graphs and charts. Must be able to interpret and manipulate data (e.g timesheets, delays analysis, etc.)
- Assist with scheduling /tracking vacation and overtime.
- Create requisitions and SESs for various vendors, maintain tracking sheets, issue reports.
- Complete releases, ensure invoices are paid in a timely manner and issue monthly budget reports.
- Ordering office and other supplies, stock and non-stock.
- Other duties as assigned.
