Overview Of The Role:

Mariner is looking for a highly organized and self-motivated individual to join our team as an Office Administrator at our Head Office in Saint John, New Brunswick. As our company's first point of contact when customers and visitors arrive at the office, you will be instrumental in creating a positive first impression and delivering exceptional customer service.

This role also involves providing administrative support to our workforce, working closely with our leadership team to manage clerical tasks, coordinate schedules, and organize meetings.

To excel in this position, you must be detail-oriented, possess strong professional communication skills (both written and verbal), and demonstrate a proactive approach.

What You ll Be Doing In The Role:

  • Handling clerical duties, including answering phone calls, responding to emails, and preparing documents such as office correspondence, memos, and reports.
  • Greeting visitors at the front desk and directing them to the appropriate office or personnel.
  • Maintaining office security by following safety procedures and controlling access via the reception desk (monitoring logbooks and issuing visitor badges).
  • Manage our travel booking system (Egencia) and assist with booking flights and other travel arrangements for employees when necessary.
  • Managing incoming and outgoing mail and coordinating shipments.
  • Managing donations and purchasing gifts, flowers, or cards as needed.
  • Coordinating food orders for in-office meetings in Saint John, and assisting with arranging or booking meeting rooms, inviting attendees, and other related tasks.
  • Scheduling and overseeing appointments, meetings, and conference rooms to prevent conflicts.
  • Assist in researching and applying for government funding opportunities.
  • Manage visa expenses and facilitate their submission to the finance department.
  • Procuring and maintaining office supplies, equipment, furniture, and facilities.
  • Conducting data entry and maintenance for various programs.
  • Performing other relevant duties as required.
  • Hours of Work: Monday to Friday, 8:00 AM to 5:00 PM, in-office.

What Skills / Qualifications You ll Need To Do The Job:

  • College diploma or bachelor s degree in business, administration, or a related field, or equivalent relevant experience.
  • 2 years of relevant experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Access).
  • Ability to handle confidential information with discretion.
  • Strong multitasking and time-management skills, with an emphasis on task prioritization.
