The Opportunity:
The Contract Administrator role at EfficiencyOne is a critical position within the organization. Reporting to the Supply Chain Team Lead, the Contract Administrator manages contracting processes for the organization and performs day-to-day contract activities. This role requires a distinctive set of skills, including administration, legal contracting, and project management. Having a strong aptitude for learning independently and leveraging technology, combined with an ability to effectively multi-task and manage multiple time-sensitive priorities will be critical. Here are some key responsibilities associated with this role:
Contract management:
- Facilitating and managing the entire contract lifecycle, from negotiation to execution, through to contract amendments, extensions, and terminations.
- Ensuring compliance with legal and regulatory requirements.
- Maintaining well-organized records of contracts (e.g. SharePoint and bids & tenders™)
- Monitor specific contract compliance requirements related to health and safety, insurance, and WCB.
Contract creation and review:
- Collaborating with cross-functional teams and service providers (i.e. vendors/suppliers) to negotiate terms and conditions.
- Coordinating all contract-related activities with internal and external stakeholders.
- Drafting and reviewing contracts (based on templates) with a quality assurance lens to provide consistency of terms and conditions and clauses across the organization's agreements.
- Liaise with EfficiencyOne's legal counsel regarding contract-related issues and inquiries
- Ensuring clarity and accuracy in contract language, and that statements of work identify key deadlines, milestones, deliverables, and service levels as applicable.
- Explaining contract terms and conditions to managers and interested parties.
- Ensuring favorable terms for the company and finding mutually beneficial solutions with the service providers.
Risk assessment and mitigation:
- Identifying, and analyzing potential risks associated with contract agreements.
- Implementing risk mitigation strategies.
- Addressing any contract-related issues that may arise with other parties or internally within the company.
Relationship management and administration:
- Creating and maintaining relationships with EfficiencyOne's staff and Executive Leadership, as well as contracted service providers.
- Serving as the primary point of contact for contract-related matters.
- Facilitating training for new employees on Procurement Processes, Contracting Processes, and Supply Chain roles
- Creating and maintaining reporting tools to generate metrics for reporting of Key Performance Indicators.
- Staying informed about industry trends, market dynamics, and competitive landscape.
- Ensuring compliance with internal controls and maintaining records that provide validation during internal audit activities.
- Supporting the Supply Chain Team / Finance Department, with ad hoc activities as they arise, in addition to providing coverage and support when and where required.
What Will Help You Succeed?
- Community College or University Diploma or Degree in a related field or equivalent combination of education and work experience.
- Certification in project management.
- 3+ years of experience as a paralegal legal, legal professional, contract coordinator, contract administrator, project analyst, or equivalent, is required.
- Experience and a high degree of proficiency in all MS Office applications (including Word, Teams, SharePoint, etc.).
- Familiarity with digital procurement platforms would be an asset (e.g. bids&tenders™).
- Enjoy working in a support role in contracts, data, reporting, and analytics to drive actionable insights for informed decision-making is required.
- Problem solving and analytical skills
- Strong critical thinking abilities, including the ability to multi-task and juggle multiple priorities.
- Exceptional organizational skills with a high degree of attention to detail, which includes diligence with follow-up,
- Has a sense of urgency to get things done well, and on time.
What to expect in your first several weeks on the job:
In the first week, expect to:
- Read organizational materials to get familiar with documentation, tools, and processes.
- Meet with members of the Supply Chain Team and Finance Department.
- Meet some colleagues from other functional areas of the business and how they interact with the Supply Chain Team.
- Work with the Supply Chain Team Lead to learn standard contracting procedures, job responsibilities, and overall work plan goals.
- Get familiar with the general processes and how the supply chain team operates.
In the first month, expect to:
- Learn more about team and/or department initiatives, work plans, documentation, tools, and processes.
- Review ongoing projects.
- Meet Legal team members with whom you will work closely and understand how you will collaborate.
- Continue self-directed and peer learning to develop knowledge of energy efficiency programs and services.
- Establish a performance plan with your manager.
In the first three months, expect to:
- Become familiar with in-depth contracting processes/procedures and applicable program specifics.
- Meet with internal partners and stakeholders.
- Be able to manage contracting activities, performance tracking, information management, and use of the applicable tools/software.
- Achieve significant progress in adherence to the supply chain team's work plan.
- Contribute to team/department initiatives.
- Work with your manager to develop individual learning/development goals.
