Under the general supervision of the Supervisor, Client Services, the Income Review Clerk provides support to calculate rents, process new leases, tenant selections, renewals, and mid-term rent adjustments for all housing programs under the administration of Nova Scotia Provincial Housing Agency - Northern District.
- Process new leases, lease renewals and mid-term adjustments by preparing new lease tenant packages, including RGI-calculated rent.
- Verify and review incoming documents for the purpose of calculating rents and adjustments.
- Follow up with tenants to ensure the timely and complete return of income documentation to meet lease renewal and other deadlines.
- Perform rental calculations in accordance with NSPHA policies and procedures, including Chapter 14 of the Public Housing Operations Manual.
- Respond to tenant and staff inquiries regarding NSPHA policies/practices for rent calculations, lease renewals, abatements, and adjustments.
- Maintain documentation of electronic and paper files in an orderly and up to date manner.
- Prepare correspondence to tenants regarding income review process, rent calculations, RGI certificates, etc.
- Liaise with government and non-government agencies/organizations, income securities, banks, EI/Service Canada, employers, pensions (public/private), Department of Community Services, shelter organizations, etc.
- Bring to the attention of the Supervisor, Income Review, major changes in tenant files that may affect status and make recommendations regarding tenant transfers and non-declaration of income.
- Securely maintain accurate and up to date tenant files including memos and move out functions in Yardi property management software.
- Maintain and store files confidentially by ensuring they are kept secure in locked cabinets.
- Ensure effective handling of all inquiries and information regarding the income review process
- Successful completion of a business administration program in bookkeeping or accounting, plus three years' related experience, or an equivalent combination of training and experience.
- Strong keyboarding skills with working knowledge of Microsoft Office.
- Excellent knowledge of office procedures and practices are required to maintain accurate and secure files, track and follow-up information/report requests and manage petty cash.
- Ability to work independently with little supervision, as well as in a team environment.
- Work cooperatively with others and display a positive attitude to further the goals of the organization.
- Ability to exercise tact, discretion, sound judgement and initiative when investigating, questioning, and dealing with inquires, requests and submissions that are sensitive and confidential in nature.
Assets
- Experience in Yardi Property Management software.
- Good knowledge of NSPHA policies, procedures and practices is required to respond accurately to inquiries from internal or external sources, applicants, and tenants.

Salary Range: $24.62 - $27.38 per hour
