ABOUT THE ROLE
We are inviting applications for the role of Executive Assistant from individuals who are self-motivated, focused, eager to learn, and enjoy working in a collaborative, fast-paced environment. You will provide executive support to our CEO and Senior Management Team and your contribution to the Team will be underpinned by your attention to detail and commitment to excellence.

Reporting to the CEO, the Executive Assistant is the primary point of contact for internal and external matters pertaining to the CEO and serves as an administrative liaison to the Board of Directors.

YOUR KEY ACTIVITIES WILL INCLUDE

  • Communicating directly, and on behalf of the CEO, with Board members, Corporation staff, key stakeholders and others on matters related to the Corporation, escalating enquiries to appropriate sources as required.
  • Preparing highly confidential, specialized reports, Board and Committee meeting materials, presentations, briefing materials and other communications for the CEO and the Board.
  • Coordinating meetings of the Board and its Committees including:
    • maintaining the Board portal,
    • maintaining confidential files, and
    • recording and transcribing meeting minutes.
  • Working independently on projects, from conception to completion, and working under pressure at times to handle a wide variety of activities and confidential matters with discretion.
  • Organizing Board, Committee and staff functions and events.
  • Managing calendar scheduling and working with internal/external stakeholders to coordinate meetings across calendars.
  • Arranging travel plans providing itineraries, agendas, and preparing meeting related documents and support materials.
  • Composing and preparing correspondence tailored to a variety of internal and external audiences.

WHAT YOU BRING TO THE ROLE

  • Successful completion of a program of studies in business/office administration, or equivalent, supplemented by a strong work tenure - five years or more of experience supporting senior level Executives in corporate/business operations management.
  • Advanced knowledge of and proficiency in the use of the Microsoft Office suite of tools (Outlook, Word, Excel, PowerPoint, etc.) and the ability to learn new software including the Board portal.
  • Ability to prioritize conflicting needs, handle matters expeditiously and proactively, and follow through on projects to successful completion, often with deadline pressures.
  • Ability to exercise sound judgement and discretion skills in a variety of situations.
  • Excellent interpersonal and communication skills (both written and oral)
  • Ability to maintain a realistic balance among multiple priorities and to work both collaboratively, as part of the corporate team, and independently.
  • Must be creative and enjoy working within a business environment that is mission-driven and results-driven.
  • Highly motivated, forward looking, adaptable and enthusiastic.

SALARY
Salary will be based on qualifications and experience.
