OFFICE OF RESEARCH SERVICES

The Office of Research Services (ORS), within the Office of the Vice-President Research (OVPR) and under the direction of the Executive Director, ORS, provides pre-awards, post-awards, partnership development, intellectual property (IP) & agreements management, technology and knowledge transfer, commercialization and legal advice and support services to faculty, staff, and students on the Fredericton and Saint John campuses.

Full-time | 3-Year Term | Fredericton | On-Campus

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Salary Range: $21.91 - $25.44 per hour

YOUR FOCUS

Reporting to Manager, Pre-Award Services, the Secretary PL4 (Research Data Clerk) triages the in-take, internal distribution and out-flow of research, intellectual property and knowledge transfer documents/agreements that flow through ORS as well as processing as appropriate said documents/agreements.

  • Process and maintain documentation, both physically and digitally.
  • Collaborate with Agreements and Grants Officers to process grant and agreement documents.
  • Maintain and update an Access-based file database.
  • Enter information into the research information database (ROMEO). Upload applications, agreements, and other related documents to individual ROMEO files.
  • Administer forms for research accounts.
  • Assist with managing the internal awards programs by updating tracking tables, collating information, and sending out notices of decision letters.
  • Assist with the Confirmation of Eligibility exercise for our various funding programs.
  • Assist with sending award lists to faculty chairs and deans.
  • Provide backup administrative support to the ORS/VPR offices: answer phone, open mail, greet clients, etc.
  • Send out research notices.
  • Assist with the annual file archiving exercise.
  • Other duties as required.

WHAT YOU BRING

  • Post-secondary diploma in a related field.
  • 2-5 years of related experience, particularly in a service-oriented work environment.
  • An equivalent combination of experience and education may be considered.

Additional Strengths

  • High level of computer literacy and proficiency in electronic communications.
  • Experience using word processing, spreadsheet, and database applications, preferably MS Suite.
  • Strong organizational, analytical, written, and verbal skills.
  • Ability to multi-task, work in a team environment and work under pressure in a deadline-driven environment.
  • Attention to detail.
