Responsibilities of this role will include, but may not be limited to, the following:
- Implementation and management of consistent & efficient administrative policies and procedures across the company.
- Administrative support to the Leadership Team including Western Canadian Branch Managers.
- Liaison with Branches and sister companies regarding various administrative policies & procedures.
- Implementation and oversight of various IT related equipment such as printers, copiers, boardroom A/V equipment.
- Supervising Reception, Accounts Receivable, and Invoicing staff.
- Achieve targets and identify areas for improvement within Accounts Receivable, and Invoicing.
- Invoicing - Implement strategies to reduce work in progress, decrease days from service call completion to invoice and meeting monthly budgets.
- Accounts Receivable - Implement collection strategy and reduce days to collect.
- Oversee and administer corporate credit card program.
- Assist in the preparation of reports, presentations and marketing material as required.
- Responsible for electronic filing systems and SharePoint sites nationally.
- Plan and help execute in-house and off-site activities, such as town halls, executive meetings, and departmental offsite forums.
- Oversee and administer employee uniform order processing.
- Oversee and administer office(s) upkeep, supplies and equipment.
Suitable candidates will have the following qualifications:
- Post-secondary education from an accredited university or college with a degree or diploma in Business Administration or relevant discipline.
- Five (5) years of progressive experience in a business office environment - exposure to a contractor, service and/or construction environment would be beneficial.
- Strong leadership skills with the capability to assess priorities and to work independently, as well as in a team environment.
- Well-developed communication skills, both written and verbal, along with excellent interpersonal, organizational abilities.
- Critical thinking and problem-solving skills; Detailed orientated and deadline conscious.
- Excellent time management skills.
- High energy, goal oriented, self-motivated and must have a positive attitude.
- Must be a team player with the ability to multi-task.
- Computer literate, and proficient in Microsoft Office (particularly Excel).
- Ability to effectively manage staff and workflow to ensure efficiency and to meet changing priorities and deadlines.
