We are happy to assist our client, Sherbrooke Dental, to find their next Dental Receptionist.
As an important member of the team, the Dental Receptionsit will coordinate and organize appointments, facilitate the administration of the front-office, and participate in efforts to achieve the overarching strategic goals of the organization. This individual will be accountable for providing effective management of greeting and scheduling our clients. They play a critical role in the success of the organization by being the face of the organization on the phone and as individuals walk through the door.
Greeter
- Greet patients in person and via the telephone
- Register new patients
- Manage the patient database (contact information, insurance, etc.), working with patients to ensure it stays up to date; maintain compliance with privacy and security regulations
- Delivery and check off patients
- Ensure the presentation of the front office / waiting area is professional
Receiving / Making Calls
- Answer and manage incoming calls
- Schedule appointments
- Respond to inquiries
- Confirm upcoming appointments and recalls
- Fill in cancellations and no-show appointments
Daily / Weekly Preparation
- Pull and organize upcoming charts for upcoming week
- Arrange patient charts for next day
Administration
- Complete referrals to other dental offices
- Manage and monitor deliveries of lab cases
- Collect and receipt payments at time of treatment, managing insurance coverage
- Prepare and mail billing statements, claim forms for dental insurance, and patient statements
- Sort and distribute incoming and outgoing mail
- Monitor and maintain inventory of dental office front end supplies
- Manage account receivable and payable insurance cheques complete with data entry
- Postsecondary Education or equivalent years of relevant experience
- Excellent verbal and written communication skills
- Strong literacy and numeracy skills and basic accounting experience
- Ability to build and maintain effective working relationships with all stakeholders
- Strong organizational skills and ability to multi-task, prioritize, and meet deadlines
- Ability to step in and support the team as required
- High professional and ethical standards for handling confidential information
- Strong collaboration skills and the ability to be proactive and demonstrate initiative
- Familiarity with MS Office and various business software
- Thrive in a constantly changing, fast-paced and deadline-driven environment
- Demonstrate a high level of integrity and dependability with a strong sense of urgency
- Experience in the dental industry, having working knowledge of dental insurance procedures would be considered an asset
