We are seeking a bilingual (Mandarin/English) Associate to join our team and support the daily operations of our coworking and event space. This role is a mix of front-desk customer service and administrative support, ideal for someone who is detail-oriented, tech-savvy, and enjoys creating a positive experience for clients and members.
You'll be responsible for ensuring smooth day-to-day operations, assisting with room bookings, coordinating logistics for events, maintaining shared facilities like the kitchen and office areas, and helping members with their inquiries. Your attention to detail and proactive communication will help us deliver a seamless and welcoming environment.
Key Responsibilities:
Assist walk-in clients and guests with space tours, service explanations, and membership information
Follow up with prospective leads via phone, email, and other messaging platforms to convert inquiries into bookings
Respond promptly and professionally to member questions, concerns, or booking issues across multiple channels
Support event preparation and communication with clients, ensuring all access and usage policies are followed
Help curate and adapt marketing content specifically for Chinese social media platforms to engage and grow our community
Manage daily bookings, ensuring rooms are prepared, unlocked, and properly billed
Monitor and follow up on payment issues, failed transactions, and time credit deductions
Coordinate room usage, client access, parking reminders, and cleaning schedules
Oversee light kitchen and office area maintenance, including restocking supplies and equipment upkeep
Perform regular checks on meeting and event rooms for readiness, cleanliness, and tech setup (HDMI, microphones, adapters, etc.)
Assist in update backend systems (e.g., Nexudus) with booking data, mail logs, and other administrative tasks
Assist in maintaining a professional, organized, and welcoming coworking environment
Requirements:
Fluency in Mandarin and English (written and spoken)
Strong communication and organizational skills
Tech-comfortable: able to manage booking platforms, access systems, and basic troubleshooting
Friendly, reliable, and able to work independently with attention to detail
Prior experience in hospitality, coworking, or customer service is a plus
Must be available to work on-site during standard business hours (with occasional weekends or evenings for events)
