Accountabilities
  • Managing the First Impression: Serve as the welcoming face and voice of the firm by answering calls, greeting visitors, and handling incoming mail and deliveries, ensuring every client, team member, and guest feels acknowledged and supported from the first interaction.
  • Handling Daily Office Operations: Keep the office organized and running smoothly by maintaining supplies, loading and unloading the dishwasher, and ensuring shared spaces remain clean, stocked, and functional.
  • Support Billing Processes: Help maintain timely and accurate client billing by preparing and sending invoices, processing payments, and assisting with routine follow-up on outstanding balances.
  • Strengthening Financial Coordination: Support day-to-day financial workflows by managing petty cash, coordinating supplier payments, and forwarding receipts and spending approvals to the bookkeeping team.
  • Assisting with Projects and Priorities: Provide flexible, dependable support across the office by assisting with administrative tasks, document handling, and coordination on a variety of projects as needs arise.
  • Enhancing Tech Readiness: Ensure office technology stays ready and reliable by charging shared devices, resetting meeting rooms, and flagging technical needs that support daily operations.
Qualification
  • 2+ years of experience in administrative or office and accounting support roles, preferably in a professional services environment. Post-secondary education in business administration, finance, or a related field is a plus
  • Professional communication skills, both verbal and written, with the ability to interact confidently and courteously with clients, vendors, and colleagues (English Proficiency: C1 or Higher)
  • Proficiency in common software applications (e.g., Microsoft 365, Word, Excel) and adaptability to new software. Familiarity with accounting tools like Dext, Xero, and Actionstep is a plus
  • Comfort working in a fast-paced, framework-oriented, autonomous environment with a focus on achieving outcomes
  • Strong organizational and time management abilities, with attention to detail and ability to manage multiple tasks efficiently
  • Dependable and proactive work ethic, with a willingness to take initiative to find answers, follow through on responsibilities, and support the team as needed.
  • Ontario resident who possesses eligibility to work in Canada.
Note: This role is a Monday to Friday 9am - 5pm in-office employment position. Our office-first approach highlights our current emphasis on in-person collaboration.
