The Role:

We are seeking a highly organized and detail-oriented Maintenance Administrator to support our senior management team. In this role, you will be responsible for running regular and ad-hoc reports, providing data-driven insights to support strategic decision-making. You'll conduct audits, review work orders to ensure timely completion, and monitor emergency requests, escalating issues when necessary.

The ideal candidate will have experience supporting Senior Management, with strong administrative skills including calendar management, document preparation, and professional correspondence. You'll also be responsible for managing vendor contracts, ensuring compliance and keeping all documentation up to date.

The Responsibilities:

  • Run regular and ad-hoc reports, providing insights and analysis for executive decision-making.
  • Conduct audits to ensure compliance and accuracy in operations.
  • Review and report on WOs to ensure they are completed in a timely and efficient manner.
  • Monitor emergency WOs, ensuring proper resolution and escalating issues as necessary.
  • Manage and review vendor contracts, ensuring all terms are met and contracts are up to date.
  • Handle general correspondence on behalf of Senior Managers, ensuring professional communication both internally and externally.
  • Provide administrative support, including scheduling meetings, preparing documents, and managing calendars for executive leaders.
  • Proven experience in an administrative or coordinator role, preferably supporting Management Teams.
  • Familiarity with Corrigo or similar reporting software is an asset.
  • Maintenance and coordinate corporate credit card expenses.
  • Manage and distribute company uniforms
  • Manage company ID badges
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritize workload in a fast-paced environment.
  • A proactive and resourceful approach to handling administrative challenges.
  • Other duties as assigned
