Accountability

Reporting to the Maintenance Manager, the Maintenance Coordinator is responsible for the maintenance and good physical condition of the properties that make up the Ecuhome portfolio. The Coordinator is accountable for coordinating the day-to-day work of the Maintenance Department and for ensuring Ecuhomes maintenance practices follow corporate policies and practices, and current government legislation and regulation.

General Responsibilities

In order to maintain the good physical condition of Ecuhomes housing portfolio, the Coordinator is responsible for: implementing preventive and corrective maintenance programs; supporting and scheduling the maintenance staff in the performance of their duties; coordinating the work of external contractors; ensuring that health and safety standards, as well as other relevant Ecuhome policies and practices and current government legislation and regulation are adhered to; serving as the key communication link with the Housing Support Coordinators in any properties and maintenance issues; keeping the Maintenance Manager updated and informed regarding the day-to-day operations of the Maintenance Department; and maintaining the records and systems for the maintenance department as required.

Preventive and Corrective Maintenance

  • Identifies, troubleshoots and coordinates the resolution of maintenance issues as they arise
  • Organizes the workflow through the work order system including receiving requests; assigning tasks to maintenance workers; and recording/tracking progress and outcomes
  • Coordinates the Emergency Maintenance System by:
  • Responding to emergency calls and pages, as required, assessing emergency situations, and recommending actions to be taken;
  • Providing after-hours emergency service as scheduled;
  • Provides support and direction to maintenance staff in daytime emergencies.
  • Scheduling
    • Ensures the delivery of maintenance programs and services, and that all recurring and corrective work is completed within priority timeframes.
    • Schedules and prioritizes maintenance work and updates Ecuhome staff regarding, access, timelines, and outcomes
    • Implements the departments preventative and recurring maintenance plan, including regular common area building inspections and unit inspections

    • Coordinates site visits and work of external contractors and agencies
  • Maintains a current inventory of all maintenance materials, tools and equipment, and orders supplies as needed
  • Reviews completion and quality of work of staff and external contractors
  • Monitors the effectiveness of maintenance programs and services, reporting progress and deficiencies to the Maintenance Manager
  • Meets regularly with Maintenance Manager to discuss and review department operations

Compliance with Relevant Legislation

  • Ensures that staff follow the policies, procedures, and established practices of Ecuhome are followed by the maintenance team
  • Maintains up-to-date knowledge of safety, fire and building code requirements and other relevant legislation and applies to work practices
  • Ensures external contractors comply with WSIB requirements, Building and Fire Safety Codes and other relevant codes to ensure a safe work environment
  • Remains current with respect to sections of the Residential Tenancies Act and Human Rights Code related to tenant accommodation of needs
  • Reports and documents any inappropriate behaviour, misuse of equipment, chemicals, materials to the Maintenance Manager

Record Keeping

  • Maintains work order system
  • Maintains database of maintenance department contacts (e.g. contractors, suppliers)
  • Provides notice to tenants for entering units in accordance with the RTA
  • Maintains documentation for fire drills, salting and snow removal logs

Health and Safety

  • Ensures staff understands their obligations under the Occupational Health and Safety Act, other relevant legislation, and Ecuhomes Health and Safety policies and procedures
  • Ensures staff have access to Safety Data Sheets and other important safety information required for their positions
  • Wears and distributes personal protective equipment, as required, to ensure staff comply with safe workplace practices and use PPE as required.
  • Provides in-house training on safety issues as required, including regular reviews of workplace practices
  • Makes recommendations regarding improvements to Health and Safety in the workplace
  • Keeps the Maintenance Manager informed of on-going health and safety activities, reports any incidents, accidents, or unsafe practices immediately to the Maintenance Manager and completes the appropriate documentation

Teamwork

  • Fosters professional and productive working relationships within the team, and with other Ecuhome employees and tenants
  • Orients new maintenance staff regarding Ecuhomes procedures and practices
  • Assist the Maintenance Manager in identifying and recommending needed skills training
  • Collaborates with Housing Support Coordinators as required
  • Maintains courteous and professional relationships with staff, tenants, outside contractors/labourers, neighbours and other community members
  • Adjusts working hours as necessary to meet the requirements of the job.

Qualifications

  • Minimum of 4 years experience in property management of multi-unit residential buildings or related field
  • Certificate/diploma in building/construction technologies from a recognized college or equivalent combination of education and experience
  • Ability to read blueprints, surveys, technical & mechanical drawings and construction/contract documents
  • Experience in overseeing the work of external contractors
  • Working knowledge of relevant legislation for property owners, including Fire Protection & Prevention Act, Occupational Health & Safety Act, Ontario Building Code, Technical Standard & Safety Act, Environmental Protection Act, WHMIS,
  • Working knowledge of preventive maintenance including HVAC, life safety and mechanical systems
  • Superior organizational and administrative skills
  • Proficient in word processing, email and spreadsheet applications and Project Management software/systems
  • Excellent communication and problem solving ability
  • Must have a reliable vehicle
  • Ability to positively interact with people living with mental illness and addictions

This position is in the bargaining unit.

Job Type: Full-time with after hours on-call rotation (approx. 8 times per year)

Salary: $59,251.04 with generous travel allowance

Experience: 4 years experience in property management of multi-unit residential buildings or related field

Location: Scattered Properties in the old City of Toronto

License: G Drivers License & vehicle (Required)
