What will you do?
- Manage day-to-day administrative activities at RamSoft's office in downtown Toronto, including office opening and closing
- Answer telephone calls, forward messages, greet visitors, receive deliveries, distribute office mail, monitor general email inboxes
- Monitor and order office supplies, catering, etc.; act as main point-of-contact for vendors
- Maintain general presentation and organization of office
- Provide administrative support to executives
- Provide high level calendar management with emphasis on proactive planning
- Coordinate internal and external meetings, including organizing agendas etc.
- Attend meetings and take minutes when required
- Communicate with stakeholders, internal staff as needed
- Prepare presentations and reports
- Participate in workplace health and safety initiatives
- Participate in team and strategy meetings as required
- Coordinate company events
- Coordinate travel arrangements
- Provide occasional administrative support to other departments as required
- Perform other related duties as required
What will you bring to RamSoft?
- Previous Office Manager, Executive Assistant, Administrative Coordinator, or other relevant experience
- High level of communication skills in English, written and verbal
- Aptitude in decision-making and problem-solving
- Exceptional organizational and time management skills
- Excellent customer service and interpersonal skills
- Proven ability to work well under minimal supervision
- Digital literacy, highly proficient/experienced in Office 365 (Outlook, Teams, Excel, Word, PowerPoint)
- Ability to balance multiple projects and priorities
- Demonstrated experience working with confidential information
