The Executive Administrative Assistant provides personalized and efficient administrative support to the executive team. This role requires exceptional organizational and interpersonal skills to manage daily tasks, communications, and special projects, ensuring the seamless operation of the executive's office and overall business functions.
What will you do as an Executive Assistant?
Administrative Support
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Manage inbound emails, screen calls, and route correspondence appropriately.
- Maintain and manage the executive's calendar, schedule meetings, and provide reminders.
- Prepare and assist with quotations for products including Toplift Ferrari, TFC forklift, and MOL brand for North American customers.
- Exercise judgment in gathering and organizing information for quotations and tenders, coordinating outsourced components, and preparing drafts for executive review.
- Organize and manage the logistics for tradeshows (3 annually), including travel arrangements, booth planning, and budget tracking.
- Create and manage content for LinkedIn, Instagram, and Facebook using Canva, ensuring semi-regular updates.
- Update the company website to reflect current inventory and remove sold items .

- Minimum of 3-5 years in an administrative or executive support role.
- Experience in inventory management or familiarity with stock numbers is an asset.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Canva.
- Familiarity with Mac OS and usage of a Mac laptop
- Ability to travel to tradeshows in Canada and the US
- Must be able to hold a valid passport
