Parts and Compliance Administrator

Southland Transportation is seeking a detail-oriented and organized Parts and Compliance Administrator to support our maintenance and safety operations. Reporting directly to the Shop Foreman, this role is responsible for managing the parts and inventory system, and maintaining accurate maintenance records to ensure compliance with regulatory requirements.

The ideal candidate is a proactive multitasker who thrives in a fast-paced environment and has strong administrative and organizational skills, with an understanding of transportation regulations and inventory management.

Key Responsibilities:

Parts & Inventory Management

  • Receive, label, and organize parts deliveries in the shop.
  • Track and manage inventory levels to ensure adequate stock of frequently used items.
  • Assist with ordering parts and supplies in coordination with the Shop Foreman.
  • Maintain accurate records of parts usage and reconcile inventory discrepancies.

Maintenance Records & Compliance

  • File and maintain maintenance and inspection records in accordance with provincial and federal regulations.
  • Support the creation and tracking of Preventative Maintenance schedules.

Qualifications:

  • Previous experience in transportation, fleet maintenance, or a related administrative role preferred.
  • Strong organizational skills with attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite (Excel, Outlook, Word).
  • Familiarity with maintenance software and/or inventory management systems is an asset.
  • Understanding of provincial HOS regulations (NS or federal) is considered an asset.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team in a dynamic environment.
