About the position

We are seeking an Administrative Associate to support the day-to-day administration of client accounts and office operations. This individual will handle custodial account administration, including account openings, transfers, money movements, and general investment operations, while also managing key office functions.

The ideal candidate has experience working with Fidelity Clearing Canadaor National Bank Independent Network systems to ensure smooth portfolio administration. They will also be responsible for maintaining accurate client and account information in Addepar, ensuring our reporting systems remain up to date. Additionally, this role includes overseeing the onboarding process, ensuring all necessary paperwork is completed accurately and efficiently.

As the first point of contact at our office, this individual will also manage front-desk responsibilities, ensuring a professional and well-organized office environment.

Key Responsibilities

Portfolio Administration & Client Support

  • Oversee account administration for accounts with Fidelity and liaise with external administrators for tasks including new account setup, updates, transfers, and closures.
  • Handle money movements, including deposits, withdrawals, wires, EFTs, and internal transfers.
  • Assist in the preparation and review of client reports, investment summaries, and tax-related documentation.
  • Maintain and update client and account data in Addepar, ensuring accuracy and consistency.
  • Ensure compliance with KYC, AML, and regulatory requirements, coordinating with compliance teams as necessary.
  • Manage client onboarding and update paperwork, ensuring all forms and documentation are completed correctly and up to date.

Office Administration & Front Desk Management

  • Serve as the first point of contact for clients, visitors, and vendors, ensuring a welcoming and professional office environment.
  • Oversee office operations, including supply management, vendor coordination, and facilities upkeep.
  • Manage incoming and outgoing correspondence, including mail, couriers, and office-wide communications.
  • Assist with scheduling, meeting coordination, and travel arrangements as needed.
  • Support the executive team and investment professionals with general administrative tasks.

Qualifications and Education

  • 4+ years of experience in portfolio administration, client services, and/or wealth management operations.
  • Strong understanding of custodial account administration, investment operations, and compliance procedures.
  • Experience working with Fidelity Clearing Canada or National Bank Independent Network portfolio administration systems is a must.
  • Familiarity with Addepar or similar portfolio reporting systems (Ndex, d1g1t, Harmony, etc.) is a must.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Excellent communication and interpersonal skills to interact with clients and internal teams.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and CRM systems.
