Cedar Shores is seeking a reliable Assistant Site Caretaker to join our strata property team in Saanich, BC. You will work alongside one other site caretaker, forming a team of two that is jointly responsible for the day-to-day upkeep, maintenance, cleanliness, and emergency response of the property. The two of you will coordinate tasks as a team, focusing on hands-on duties, supervised by the Lead Caretaker. The licensed Property Manager handles most administrative work. You will be accountable to strata council through communicating with the property manager. This role requires practical skills, teamwork, dedication, interpersonal skills, and a proactive approach to keeping our property in top condition.
Responsibilities (Shared Between Both Caretakers):You and your teammate will divide and complete the following as a team:
  • Conduct daily morning walkthroughs of all buildings and grounds, including parkades, parking lots, cleaning of elevators and lobbies, spot carpet cleaning, and picking up garbage.
  • Test pool and hot tub regularly; vacuum pool and drain/refill hot tub weekly.
  • Respond to emergencies (e.g. 911 calls, water leaks, down elevators, fire alarms).
  • Manage on-site maintenance schedule, book trades, provide keys, and oversee their work.
  • Clean roof drains during heavy rain/wind and leaf blow after storms as needed.
  • Power-wash entrances, ramps, parkades, tennis court, racquetball court, sidewalks, garbage rooms and chutes.
  • Perform general buildings and grounds maintenance (e.g. change lights, adjust timers, adjust door closers, minor carpentry, drywall repair, touch-up painting).
  • Manage & perform snow/ice removal and water shutdowns for emergencies or plumbing work.

Parking & Storage:
  • Assign parking stalls, bicycle stalls and extra storage lockers and maintain a record,
  • Maintain and update parking, bicycle, and storage locker waitlist.

Resident Services & Administration:
  • Collect administrative forms (e.g. Form Ks) and submit to the licensed property manager.
  • Update enter-phone directories when residents move in and inform property manager.
  • Issue/sell laundry tokens to residents.
  • Assist with preparing a brief month-end report to Proline Management for council.
  • Handle resident requests, create and/or post notices, and order supplies as needed.
  • Respond to emails and phone calls, prioritizing tasks.
  • Facilitate contractor access to common area and strata lots for inspections and maintain records.
  • Keep workshop, mechanical/electrical/garbage rooms and site office clean and organized.
  • Other practical duties as required by the strata as assigned by council and/or property manager.

Task Coordination:
  • Lead Caretaker: Responsible for overseeing and coordinating all caretaker duties, including emergency response, contractor oversight, and more complex maintenance tasks. They will also manage specific projects, supervise assistant, and ensure proper operation of building systems.
  • Assistant Caretaker: Focuses on routine upkeep, including cleaning, minor repairs, and general maintenance. Provides support in emergencies, assists with the coordination of services, and ensures that all common areas are maintained to high standards.
  • The team is jointly responsible for all listed duties and responsibilities, including pool maintenance, with most administrative tasks managed by the licensed property manager at Proline Management.

Working Hours & Emergency Response:
  • 40 hours/week (5 days/week). Flexibility regarding days worked and days off.
  • Flexible On-Call: Caretakers will coordinate their off-hour coverage, ensuring that one person is always available for responding to on-site emergencies. This flexibility allows them to accommodate personal commitments while maintaining emergency response coverage.
  • A strata corporation cell phone will be provided for emergency calls and for work duties.
  • A personal vehicle is required for emergency response; mileage reimbursement is available for work-related travel.
  • The ideal candidate either lives on-site or within 15 minutes' drive away for rapid response.

Qualifications:
  • Experience in property caretaking, maintenance, or a related field.
  • Physically able to climb ladders, lift minimum 25 lbs, put up & take down elevator pads/curtains, and perform outdoor tasks (e.g. snow removal, roof cleaning, power washing, leaf blowing).
  • Basic handiwork skills (e.g. minor repairs, carpentry, drywall repair, painting).
  • Strong communication and teamwork skills; ability to self-coordinate with a partner.
  • Comfortable with basic reporting (e.g. month-end summary) and strata software (Microsoft Office experience an asset but not required).
  • Employment is conditional upon completing the Pool Operator course and attaining the Pool Operator Certificate within 3 months of starting, paid by the strata corporation.

Salary & Benefits:
  • Assistant Caretaker: $58,000 - $63,000 annual salary, based on experience, with benefits as per BC Employment Standards including 3 weeks paid vacation after 12 months of employment.
