Proposal Specialist (Hybrid) Survalent seeks an energetic and enthusiastic Proposal Specialist to join our Customer Success team. The Proposal Specialist is responsible for preparing and delivering high-quality, competitive proposals in response to RFPs/RFQs. This role requires meticulous attention to detail, exceptional communication skills, and the ability to collaborate effectively with internal departments. What you will be doing? * Review RFP/RFQ documents: Thoroughly analyze requirements to create both technical and commercial proposals, ensuring accurate cost allocation, adherence to Survalent's standards, and competitive positioning within agreed timelines. * Proposal Preparation: Develop error-free, technically accurate, and well-structured proposals that clearly articulate the scope of work, methodology, project approach, and implementation services. * Collaboration: Proactively communicate with project managers, finance and sales teams to gather and integrate technical, financial, and operational information into proposals. Work closely with management to report on the status of quotes, and proposals workloads. Collaborate with peers to share information, lessons learned, and promote continuous improvement. * Sales Support: Partner with sales representatives to design solutions that meet customer requirements while maintaining target margins. Demonstrate a strong understanding of project requirements, services associated with specific tasks, and cross-dependencies on software. * Quotation and Order Management: Track and maintain the status of quotations and orders in the department's business system, ensuring timely updates and efficient workflow. * Customer File Maintenance: Ensure customer files are up-to-date and compliant with team protocols, including ISO standards and Survalent work instructions. * Financial Coordination: Liaise with the Finance Department to ensure accurate and timely invoicing and payment. Request bid and performance bonds as required. * Adherence to Policies: Follow standard company policies and procedures diligently. * Other Duties: Perform additional tasks as assigned by management. What are we looking for? * Strong focus on the meticulous review of RFP/RFQ requirements, cost allocation, proposal formatting, and wording to ensure accuracy and consistency. * Fluent in English, both oral and written. Demonstrated proficiency in English writing skills, particularly in describing the scope of work, methodology, project approach, and implementation services. * Takes initiative in communicating with internal teams, reporting status updates to management, and collaborating with peers to foster a culture of continuous improvement. * Ability to quickly learn and comprehend project requirements, associated services, and software cross-dependencies, coupled with a passion for sales and supporting the sales team in closing deals. * Advanced skills in Microsoft Word and Excel, including the use of automated tools, formulas, pivot tables, and macros to ensure accurate cost allocation, expedite response times, and validate the scope of work, pricing, and margins. Proficiency in Microsoft Visio and Microsoft Project is considered an asset. * Strong problem-solving skills, especially in bid/no-bid assessments, and the ability to review and interpret commercial and legal documentation. * Excellent organizational skills, with the ability to manage multiple tasks and meet tight deadlines. * Maintains a positive attitude and demonstrates perseverance, even under pressure. Education, Knowledge, Skills and Abilities * Bachelor's Degree from a 4-year college or university. * Minimum of 5 years' experience in an application engineering or comparable role, preferably in the SCADA, automation, or IT industry. * Versed in Microsoft Word and Excel; Proficiency in Microsoft Visio, Microsoft Project and Salesforce is an asset. * Fluent English skills (oral and written). * Excellent telephone and negotiating skills, technical writing abilities, and strong organizational skills.
