Position Summary

Amacon is looking for a dedicated and clever problem solver for the role of private Personal Assistant to support the personal lives and basic day to day operations of the homes for our Owners. This person will provide high-level support by delivering personal administration. This position ensures home and lifestyle operations run smoothly in addition to a variety of tasks that differentiate daily.This position is an on-site position located in an Owners home and the Vancouver office.

Position Responsibilities

Lifestyle & Hands-On Tasks

  • Assist with management of household personnel i.e. nannies, private chefs, and housekeepers
    • Oversee vacation coordination, liaising questions and information between Owners and staff
    • Must be on call and available in the Owners absence
  • Schedule home maintenance and repair work
  • Run personal errands such as dry-cleaning, car fuel and maintenance, post office runs, and other tasks as needed
  • Assist in care for two cats, including food & litter order & pick up, veterinary and grooming appointments
  • Drive children and staff to commitments from time to time
  • Shop for clothes, gifts, supplies and additional requested items
  • Complete household and organizational projects
  • Various other duties and responsibilities as assigned

Administrative Tasks

  • Assist with correspondence through email and telephone calls
  • Manage personal office, including stocking office supplies, filing and organization
  • Administer the calendars for owners and their families.
    • Keep a list of current appointments and any updates as they change
  • Support Owners by monitoring school communications and notices, including special events, parent teacher conferences, field trips, etc.
  • Schedule and manage booking and coordination of children extracurricular activities
  • Organize restaurant and event reservations
  • Coordinate event planning for birthdays, holidays, festivities and celebrations
  • Organize travel arrangements for the family, including booking flights, accommodations, and creating itineraries

Experience & Qualifications

  • Education: University degree or diploma would be an asset
  • Experience: 3-5 years of personal assistant experience

  • Excellent time management skills with a proven ability to meet deadlines and work under pressure
  • Excellent written communication skills: advanced proficiency in spelling, punctuation and grammar
  • Must have a valid BC drivers license, a clean drivers abstract, and access to a reliable vehicle
  • Computer Skills:Excellent knowledge of the Microsoft Office Suite
