Investment Advisor Administration Assistant provides administrative and operational support, assisting with client communication, transaction processing and trades, and general office tasks. This role involves handling client inquiries, preparing reports, and maintaining accurate records.

Key Responsibilities:

  • Client Communication:

    Responding to client inquiries, managing phone calls and emails, and handling client-related correspondence.

  • Transaction Processing:

    Assisting with processing and confirming client transactions, executing trade orders, and following up on transfers and documentation.

  • Administrative Support:

    Maintaining account lists, compiling statistical information, preparing reports, and organizing client files.

  • Client Service:

    Providing ongoing service and support to clients, ensuring their information is accurate and up-to-date, and resolving issues effectively.

  • Marketing and Business Development:

    Assisting with marketing activities, preparing client presentations, and identifying revenue opportunities within the existing client base.

  • General Office Duties:

    Performing various administrative tasks such as scheduling appointments, preparing correspondence, and maintaining office supplies.

Required Skills and Qualifications:

  • Education: High school diploma or equivalent.
  • Experience: Some experience in a financial services environment is often preferred.
  • Certifications: Completion of relevant securities courses (Canadian Securities Course -CSC).
  • Skills: Excellent communication, organizational, and interpersonal skills are essential, along with attention to detail.
