Job Title: Customer Service Representative, Clerk

Location: Peel Region, Ontario
Job Type: 18 Month Contract
Salary: $65,000 to $75,000/yr

Our client in Peel Region, ON is actively looking for a Customer Service Representative, Clerk to join their team.
Position Description:

A Customer Service Representative Clerk, will act as a liaison, provide products/services information, and resolve any emerging problems that our customer accounts might face with accuracy and efficiency of deliveries. The position will contribute to a human work environment where fairness, equity and non-discriminatory practices are the standard.

Job Responsibilities:

Your supervisor may from time to time ask you to perform other related duties not specifically included in this job description. This job's key responsibilities include:

  • Reporting and Monitoring: The CSR will ensure daily follow up and upkeep of EDI schedules / reschedules that are transmitted by our customer to include manual orders received. Review schedules to ensure that the CUM's match, unlinked parts are maintained and customer orders are validated. Monitor that OEM window times are adhered to with close detail to time sensitive shipments. Monitor window times daily, to ensure scheduled trucks leave on time and BOL integrity is maintained.
  • Documentation and Reporting: Completing and entering all required documentation including preparing invoicing, following and tracking orders, shipping and receiving information and data entry. Problem solve for any cases of missing documents, shipments and deliveries. Responsible for preparing and delivering paperwork and labels to the shipping department and production
  • Processing: Prepare and schedule shipments as assigned, process all paperwork withing the ERP system and maintain adequate records for reporting and tracking. Where applicable, process all warehouse transfers in a timely manner between warehouse locations. Processing RMA (Return Material Authorization) as required and assisting with inventory accounts and inspections.
  • Filing and Auditing: When required, perform random quality audits of the condition of goods for incoming shipments prior to signing off in conjunction with shipping personnel. Do all necessary paperwork for sample requests. Maintain filling system (i.e. orders, P.O. confirmations, invoices, or bill of lading correspondence).
  • Sales Support: Pricing and Invoicing must be checked for accuracy before entering the system. Typing of no-charge shipments. Responsible for Prototype shipments.
  • Collaboration: To provide backup as required for other team members when he/she is absent.
  • Customer Service: Follow-up constantly with Production and Shipping on customer requirements. Respond to Customer Surveys on time. Monitor customer websites and inform Production and Materials group of any changes in customer requirement. Be the communication point with customer during the build out stage of any program and inform production and material team of any changes to minimize obsolesce cost at end of program.
Skills & Qualifications:
  • Education: The minimum educational requirement is typically a high school diploma or equivalent.
  • Certifications: APICS / CPIM preferred.
  • Communication Skills: Excellent verbal and written communication skills are essential for interacting with customers, colleagues, and other stakeholders.
  • Technical Knowledge: Understanding of automotive parts and their applications to provide accurate information and support to customers.
  • Problem-Solving Skills: Ability to handle and resolve customer issues effectively and efficiently.
  • Attention to Detail: Ensuring accuracy in order processing, data entry, and customer interactions.
  • Organizational Skills: Ability to manage multiple tasks, prioritize work, and maintain records systematically.
  • Customer Service Skills: Strong customer service orientation, with a focus on building and maintaining customer relationships.
  • Computer Skills: Proficiency in using customer relationship management (CRM) software, Microsoft Office Suite, and other relevant applications. Familiarity / Experience with computer applications and communications software -Email, Ford DDL system, Chrysler SMART system, GM Supply Power, GM Containerization
  • Teamwork: Ability to work collaboratively with different departments to ensure customer satisfaction.
  • Experience: Minimal 5 years functional experience in materials and inventory management. Hands on experience in scheduling and inventory planning in an ERP system environment preferred.
  • Experience in evaluating and analyzing risks associated with material planning and inventory management - hands on experience in managing customer demand variations. Work experience on continuous improvement initiatives in supply chain / plant operations settings.
