Responsibilities include:

  • Supports divisional Working Group Meetings with financial reporting, summaries, meeting notes, and other project management tasks
  • Draft project proposals, RFPs, tenders, budgets, time task matrices, and preliminary schedules.
  • Leads project initiation procedures, including ensuring project setup is complete.
  • Assists in preparing the Quality Management Plan.
  • Develop complex project schedules within suitable tools to help the design team track deliverables.
  • Collaborates with the Project Coordinator, design leads, and Project Manager on resource planning, ensuring the data is current in VantagePoint.
  • Drafts project charters and project procedures monitors and advises of project risks.
  • Develops and updates the project data sheet with marketing.
  • Develops status reports for managers and client reviews by tracking progress against project plans, highlighting areas of concern, and providing recommendations to address issues.
  • Monitors and tracks assigned project documents using suitable tools, keeping the relevant parties informed about project status and issues.
  • Assists the team in project delivery to clients (i.e. headers, footers, formatting of drawings, specifications, reports, etc.), and participates in documenting QA/QC.
  • Proactively coordinates internal and external touchpoints (scheduling meetings, ensuring all required people are attending the meetings are briefed on the agenda, and are prepared for the meeting).
  • Recommends basis of design documentation, ensures completion of design reviews and lessons learned documentation.
  • Leads contract administration functions such as RFI, Shop Drawings, etc.
  • Supports project manager and project leads in creating, maintaining, and updating project open issue log.
  • Oversees the project close-out processes, including ensuring all required project close-out documents are obtained and submitted.
  • Conducts record management functions with support from the RMG team.
  • Assists in compiling, submitting, and reviewing information required for client invoicing ensuring any discrepancies are resolved, as required
  • Monitors ongoing project costs with managers to ensure financial aspects of project execution are on track
  • Attends meetings or reviews meeting minutes as required; provides summary highlighting key points impacting the design team and items for response.
  • Interacts with the client or external coordinators as needed to ensure key deliverables are being met; alert PM of any risks.
  • Other duties as required.

The successful candidate will have the following skills and experience:

  • Diploma or Degree in Engineering
  • 5+ years of project coordination experience in AEC
  • Knowledge of Excel, MS Project, Bluebeam Studio/Project, Word, and other project management reporting tools
  • Forward-thinking, eager to learn best practices, and contribute with innovative ideas
  • Displayed ability to learn quickly and driven to broaden knowledge base
  • Good accuracy and documentation skills
  • Ability to collaborate and work effectively in a variety of teams, including multi-disciplinary teams
  • Passionate about the application of digital technology in complex facilities and the built environment
