About the Role

As a Logistics Coordinator, you'll be at the heart of the company's supply chain, ensuring that products reach their destinations on time and within budget. From coordinating shipments to optimizing warehouse and carrier relations, you'll oversee the entire logistics process to keep things running smoothly.

You'll work closely with the Director of Operations to maintain and refine logistics policies, monitor industry regulations, and negotiate the best freight rates with carriers. This role is perfect for someone who thrives in a fast-paced, detail-oriented environment and enjoys the challenge of optimizing supply chain operations.

What you'll be doing:

Logistics Support

  • Act as the first point of contact for carriers
  • Work with carriers and colleagues to coordinate the shipping of orders
  • Maintain knowledge about cross border customs requirements and documents
  • Act as expert resource in incoterms requirements for the Company, including import and ocean shipments
  • Coordinate national and international shipments from warehouses, suppliers, ports, and rail yards to delivery locations

  • Source and approve carriers in conjunction with the Director of Operations in compliance with the Responsible Distribution requirement

Warehouse Relationship

  • Getting updated rates as they expire for warehouse shipments
  • Being the go-to for Quality & Logistics team for NCR issues regarding the warehouse and carrier for loads handled by the Logistics Coordinator
  • Assist the accounting team with handling accounting discrepancies with the warehouse and carrier for loads handled by the Logistics Coordinator
  • Maintaining the policy/procedure and work instructions on vetting new warehouses and carriers and to work with the Director of Operations on any changes

Customs Support

  • Go to for the various teams with issues with customs releases into Canada and the USA
  • Go to for assistance with exporting items from Canada and/or the USA

Administration

  • Review and prepare documentation required to move products nationally and internationally, including but not limited to Bill of Lading, Trucking instructions, etc.
  • File all correspondence and documentation according to internal procedures
  • Assist the Logistics team in day-to-day tasks where needed
  • Accurately complete all compliance documents and data sheets
  • Complete all tasks and duties in accordance with policies, procedures, and expectations
  • Review the carrier/warehouse KPI report to see if there are trends that need to be actioned - discuss actions with Director of Operations prior to handling.
  • Brainstorming for various lanes/carriers with the logistics team.
  • Review of the approved carrier list to ensure that assessments are on hand and that the logistics personnel is successful in obtaining them, as required

Process Improvement

  • Negotiate competitive freight rates with providers and streamline the lanes in place
  • Expand the base of freight providers for freight requirements
  • Attend training and committees and develop relevant knowledge and skills as required

Internal and External Relations

  • Establish and maintain relationships with freight providers • Facilitate communication between departments
  • Manage relationships with warehouses with respect to shipping, receiving, non-conformance reports and Chemsynergy Responsible Distribution requirements
  • Collaborate with internal departments in a manner to solve problems efficiently and quickly

Requirements

What we require:

  • Bachelor's degree or Diploma in Supply Chain and Logistics or a related field
  • A minimum of 2-5 years of experience in logistics
  • Dispatching experience an asset
  • Experience working with freight routes globally and within Canada is an asset
  • Experience in the Ocean Freight Industry is an asset
  • Knowledge in applicable Incoterms Regulations/Requirements and freight terms

  • Exceptionally strong interpersonal skills
  • Solid problem-solving skills and ability to work within deadlines
  • Excellent communication skills both written and verbal
  • Highly organized with strong attention to detail and accuracy
  • Proficiency with Microsoft Office
